Job description
Our client is currently seeking an experienced Office Manager to join their busy Maintenance Department, based in Elgin.
This position offers an exciting opportunity for a motivated individual to lead office operations and support the engineering team.
Responsibilities:
- Manage daily office operations and administrative tasks to ensure smooth workflow within the department.
- Coordinate schedules and appointments for engineers, optimising efficiency, and productivity.
- Ensure customer complaints are followed up and actioned appropriately.
- Supervise office staff, providing guidance, training, and support as needed. Ensure training is kept up to date.
- Liaise with clients, vendors, and suppliers to facilitate communication and ensure timely project completion.
- Assist with project coordination and documentation, including preparing reports, maintaining records, and updating project files.
- Oversee inventory management, ordering supplies, and equipment maintenance for the department.
- Manage budgets and expenses, ensuring cost-effectiveness and adherence to financial guidelines.
- Implement and maintain office policies and procedures to promote a safe and productive work environment.
- Monitoring productivity of invoicing, stock, and efficiency of engineering work
- Improve ways of working and bring innovation to team.
- Foster teamwork and collaboration among office staff and engineering team members
- Address any office-related issues or concerns promptly and effectively.
Skills & Experience
- Degree in Business Administration, Management, or related field preferred.
- Proven experience in office management or administrative role, with strong managerial skills.
- Excellent organisational and multitasking abilities, with a keen eye for detail.
- Effective communication and interpersonal skills, with the ability to work well with diverse teams.
- Proficiency in office software applications (e.g., Microsoft Office Suite)
- Ability to prioritise tasks and meet deadlines in a fast-paced environment.
- Strong problem-solving skills and ability to handle challenges with professionalism and efficiency.
- Experience in the maintenance or engineering industry is desirable, but not essential.
