Outside In is accepting applications for our Support Services Assistant position. In addition to supporting our administrative infrastructure, the role will provide crucial support to our dynamic work environment and teams from within the Support Services team, which is focused on facilities and information technology work. The Support Services Assistant is based out of our offices located at 1132 SW 13th Ave, Portland, OR, and reports to the Support Services Director.

This is a full-time, 40-hour-per-week, non-represented, non-exempt position with a starting hourly range of $18.42- $21.56, depending on experience and skills. This position is also eligible to receive a one-time $1,500 signing bonus at the time of hire, and a one-time $1,500 retention bonus at your six-month anniversary of employment.

What you will do:

  • Maintains office supplies inventory, processes agency mail, and maintains various pieces of office equipment.
  • Maintains file cabinet, key inventories, keycards, and ID badges.
  • Manages assigned vendor accounts, off-site records storage, and inventory records.
  • Assists with end-user tech support and answering various staff inquiries. This may include performing and coordinating minor repairs.
  • Maintains internal driver list and for annual insurance renewals.
  • Travels via metro for business purposes to purchase items, transport supplies, etc.
  • Conducts and manages special projects as assigned related to the development of departmental administrative services, such as gathering collective bargaining data.
  • Assembles data for collective bargaining negotiations.

EDUCATION AND EXPERIENCE

Required:

  • Proof of COVID-19 vaccination status or approved medical or religious exception on file is required
  • At least 2 years of administrative office experience
  • Valid driver’s license and ability to pass a driving records check

WORKING CONDITIONS  

This position is in a typical office environment, with moderate noise.

This job requires operating phones, computers, and other office equipment. Communicating is required on a regular basis. Moving inside the building to other offices and program delivery spaces as well as moving to surrounding sites is expected. Driving on agency business within the scope of the role is expected. Often moves and lifts items weighing up to 30 pounds.
