What are the responsibilities and job description for the Weekend Dispatch position at Outwest Express LLC?
Manage, prioritize, and track shipments during the weekend shift to monitor the fleet to ensure that loads remain on schedule. This includes communication with the drivers and using the software systems available to update the system. Dispatcher is responsible to interact with Shop and Safety personnel to coordinate activities between drivers when issues arise during the night. Dispatcher is also responsible to update customers and customer systems, where applicable, in a timely manner on delivery variances. Individual is responsible to perform a daily yard check and provide a detailed summary report to Night Dispatch personnel. The weekend dispatch position is responsible for:
- Prioritize time sensitive cargo.
- Dispatch drivers for shipment pick-ups and deliveries.
- Update TMS system and maintain timely data integrity.
- Update Customer Portals in “Real Time” (LMS, XPO, etc.)
- Reconcile assigned fleets twice per day including answering MobilCom messages.
- Assist at window.
- Verify envelopes to ensure that the envelope information matches info in TMS
- Ensure that all drivers are managing their loads as per the established planned schedule.
- Interact with customers to handle requests and complaints in a professional manner.
- Interact with drivers to assist in route planning, weather advisement, mechanical failures, and changes in load information during the weekend.
- Back up to Driver Managers and CSR’s.
- Review driver’s HOS logs and interact with Safety as required. Update system as needed.
- Process EFS requests for payments (Lumper, Repairs, incidentals, etc.)
- Answer phones and utilize customer service techniques to route calls appropriately.
Requirements/Qualifications:
- Weekend, Friday - Monday, 12-hour shift schedule.
- Must be willing to support and implement change and a willingness to complete all jobs assigned with a “can do” attitude.
- Must have an aptitude to learn and efficiently handle multiple roles in the organization.
- Must be conscientious, detail-oriented and possess the ability to prioritize workload to meet operational efficiency targets.
- Ability to work with computer software programs.
- Ability to work independently without close supervision.
- Able to resolve conflicts and effectively negotiate with others.
- Possess good communication skills, both written and oral, to effectively interact with drivers, customers, Safety, and Shop personnel
- Able to exhibit a level of creativity and latitude in making decisions with little or no supervision.
- Use of proper and professional phone etiquette.
- Possess a “sense of urgency” and be customer focused.
- Bilingual (Spanish and English) is desirable
- Minimum of 1 year experience in OTR dispatching or planning preferred.
- High school diploma or GED
