Summary:

  • This position is responsible for managing the day to day operations of the Lawrence Topeka HVAC Service Department.
  • This person leads his or her subordinates as defined by P1 Group’s leadership model and its operating principles.
  • This person directly contributes to the success of the company by overseeing the productivity, safety, quality, and profitability of all projects in his or her portfolio and by establishing and sustaining excellent, long-term customer relationships.
  • This position reports directly to the General Manager and is responsible for keeping him or her informed about the Spot/Maintenance/Project’s productivity and profitability and about any personnel, leadership, financial, or legal issues

Essential Duties:

  • Lead and manage Service Coordinators/Dispatch.  Oversee technician schedules.
  • Conduct weekly operational, manpower and marketing meetings with team members
  • Review HVAC Service Department tasking for accuracy. Review all invoices for accuracy prior to mailing.
  • Develop, provide and review financial reports with management
  • Oversee tracking and reporting on sales opportunities and activities.
  • Work with subcontractors on pricing and scheduling for projects.
  • Call in permits and inspections for service to ensure there are no interruptions in progress.
  • Confirm that backflow reports are filed with city entities.
  • Support customers:  Handle issues or concerns.  Engage with customers to ensure we are meeting expectations, quality and develop additional opportunities
  • Manage warehouse personnel, schedules and deliveries
  • Assist accounting personnel and Service Coordinators/Dispatch with billing issues and A/R. Manage and track company assets.
  • Provide detailed knowledge of our operating systems to develop and support internal processes.
  • Coordinate with other departments to maintain communication and efficiency.
  • Assist with repairs quotes as needed to maintain spot and service projects.
  • Assist as needed with ordering of supplies and materials for projects, service, or office.
  • Assist in proposal development as required
  • Manage and participate in corporate community and industry activities
  • Managerial Teamwork
    • Establishes and maintains a collaborative working relationship with staff by providing him/her timely, accurate, and complete information and by answering his/her questions and requests.
    • Establishes and maintains collaborative working relationships to include providing them timely, accurate and complete information.
    • Coordinates with appropriate P1 Group departments for timely delivery of material and manpower resources.
    • Provides timely, accurate, and complete information to the company’s senior leaders.
  • Leadership
    • Lives the P1 Group operating principles and leads in accordance with the company’s leadership model.
    • Defines training requirements and coordinates for training interventions that promotes the professional growth of all assigned associates.
  • Coaches and mentors direct reports and promotes their professional growth by providing clear expectations; timely, meaningful feedback (to include periodic formal performance appraisals); and, as appropriate, recognition, redirection, or positive discipline.

Qualifications:

  • Experience:
    • Minimum of two years of experience in the mechanical/HVAC service industry.
    • Minimum of two years of work experience in an operations or administrative support position type of role.  Work experience related to dispatch preferred.
    • Supervisory work experience preferred not required (this includes direct responsibility for all staff employment decisions, performance evaluations, and performance improvement meetings.)
  • Education: High school diploma or GED equivalent.
  • Computer Skills: Must be proficient in using email, database, internet, spreadsheet, and word processing applications: specifically, Microsoft Office products (Word, Excel, PowerPoint, and Windows). 
  • Must have excellent communication skills – written and oral. Must be able to effectively communicate with all levels of the organization and with customers with varying technical expertise.
  • Must have excellent customer service skills.
  • Must have excellent organizational skills.
  • Must be able to satisfactorily pass a drug screen and a criminal background check and motor vehicle record check.  Must be at least 18 years of age and possess a valid driver’s license.  Must be able to meet P1 Group qualifications to operate a vehicle on company business. Must have access to drive a well maintained vehicle with an up to date registration with the local Department of Motor Vehicles. Both the candidate and the vehicle must be currently covered on a personal insurance policy.
