What are the responsibilities and job description for the Chief of Staff position at Palmetto Goodwill?

- Collaborates with the CEO and executive team members to execute strategic priorities.
- Project manager of special projects and supports cross-functional business initiatives that improve organizational effectiveness, drive process improvements, speed, and efficiency across the organization
- Directs a system of two-way communication and knowledge transfer to gain feedback and make improvements to, or create new, systems, processes, or procedures. Acts as an agent of change by demonstrating enthusiasm and commitment to change processes. Works with other departments as needed to align operations, documentation, and training.
- Creates and maintains executive team's scorecard and follows up to ensure accuracy.
- Ensures adherence to Goodwill's strategic plan and is the architect of reports and presentations for the CEO to present to the Board and other constituents. Collaborates with other departments to ensure agency compliance, as necessary. Oversees department project rigor. Typically works on projects and initiatives that span 1-2 years and focuses on the creation of systems, processes and programs.
- Coordinates, attends and records minutes of all Board of Directors, Board Committee and “C” level meetings.
- Create, publish and manage board meeting calendar. Calendar must account for and increase internal lead time and improve the quality of preparation for prep-the-chair, board, and committee meetings and increase the lead time for final drafts to go to the CEO.
- Partner with CEO & Board Chair to set agenda, prepare materials, and disseminate materials to board members in advance of meetings. To allow enough preparation time for all parties involved, materials must be provided to CEO in advance of dissemination to the board, and materials must be sent to board/committee members a minimum of one week in advance of the meeting.
- Formally document and socialize expectations and processes for staff Board committee leads.
- Store all board materials for posterity. Materials must be organized intuitively, clearly identified as drafts or finals, date-stamped, have appropriate security, and the storage platform must include filters or archiving capabilities to prevent the library from becoming cluttered or difficult to navigate
- Own visits and tours from Goodwill Industries International and other member Goodwill or partner organizations. Responsibilities include the development of an approval process, templates (standard agendas, schedules, materials, talking points), maintaining a list of “go-to” people for each location and for various topics, develop and execute pre/post surveys to measure the success of the event,and promote hosting as a development opportunity for directors and senior managers.
- Utilize strong understanding of the various areas of Goodwill to determine which requests will be honored and which must be declined and to delegate tasks to various Goodwill leaders in alignment with the priority level of the work and the development needs of the leader. Develop and maintain mechanisms for triaging, tracking and completing incoming work from multiple stakeholders,including Boards, Community Partners, GII, etc.
• Prepare regular reports regarding the status of work tracker items for CEO. Report should provide an overall sense of the health of tracker items and areas that require intervention.• Prepare for all Goodwill Industries International (GII) and Partner meetings. Includes the development and execution of standard process to create meeting materials and prepare leaders to represent PG, the creation and distribution of meeting materials, ensure that all room and catering arrangements have been made. When CEO presence is required at a GII and Partner meetings,conduct research, prepare meeting materials, and meet with CEO a minimum of two weeks in advance of the meeting to prepare CEO for the upcoming meeting.
• Partner with Executives to ensure that relevant meetings are on the calendar. Includes working to execute deadlines for materials and meeting preparation in alignment with standard process.• Manage Executive Team & Leadership Team meeting series. Includes the creation of an annual calendar, scheduling meetings, working with leaders to create and execute on an agenda, and management of all meeting communications.
- Create triage system to relay information and requests for support, including a decision tree that determines to whom various items are delegated. Track Office of the President action items (items,assigned to, status, outcome) and escalate key items that are in jeopardy.
- Develop and socialize standard time-bound process for the creation of all CEO communication items (speeches, presentations, letters, video content, etc.). Use decision tree to determine if item must include the CEO; if not, partner with an Executive Team member. Process must include a minimum amount of lead time, account for the challenging nature of the CEO's calendar and provide standards of research for the event in question.
- Drive consistency in messaging and delivery efficiency through the creation of an Office of the President electronic communications library. Library must include templates for speeches,correspondence, and presentations. Presentations must always include current information and statistics to facilitate quick and consistent development of presentation materials. Library must also include key talking points and current biographies for the CEO, Leadership Team and Executive Team.
- Develop and execute standard process for CEO engagement with community events. Process must include an evaluation of whether the event requires CEO presence or could be delegated to another Goodwill leader. Process also must assess the level of involvement required from CEO and include enough time to conduct research, prepare materials and prepare CEO to represent Palmetto Goodwill at the event.
- Create calendar of community partner events that indicates which Goodwill leader will represent Goodwill. Partner with leaders to ensure that the event is on calendars and that leaders are prepared to represent our organization.
- Maintains the confidentiality and security of organizational information and files.
