What are the responsibilities and job description for the Village Secretary- Timbercreek Canyon position at Panhandle Regional Planning Commission?
The Village of Timbercreek Canyon is seeking a friendly and organized candidate to serve as its next Village Secretary.
PRINCIPAL DUTIES:
- Serves as an administrative secretary to the Mayor and Board of Aldermen. Manages, organizes, and processes all official records of the Village. Acts as the primary telephone contact with the public and performs related work as required. Acts as the primary point of contact for various state, federal, and public departments.
- Prepares meeting minutes for approval by the Board of Aldermen. Attends evening meetings of the Board of Aldermen as the recording secretary. Publishes all required legal notices in the official newspaper of the Village within the appropriate time requirements as dictated by state law. Maintains records, filing, drafts, and correspondence for the Mayor and other Village officials.
- Maintains custody of official records of the Village including ordinances, resolutions, minutes of the Board of Aldermen, contracts, agreements, etc. Attests to all official documents of the Village. Serves as the official Records Management Officer for all city documents. Offers continuity in board transitions and records all necessary training and manages required documents.
- Receives on behalf of the Village petitions, initiatives, referendums, recall proceedings, and applications for office and verifies all applications and petitions. Supervises municipal elections and communicates with Randall County to facilitate local elections.
- Assists other departments with customer service and secretarial duties as needed.
- Performs other related duties as assigned.

REQUIRED QUALIFICATIONS:
- High School graduate or its equivalent (GED)
- Must have and maintain a valid Texas driver’s license.
_ PREFERRED QUALIFICATIONS:_
Bachelor’s Degree or three (3) years experience in similar municipal government or similar activities.
The Village Secretary works a part-time, variable-hour schedule, which averages approximately 3-4 hours a week. Must be able to attend Village Board meetings and be willing to attend Village-sponsored training to develop skills needed.
