Description
Under the Supervision of the Office Coordinator, the Receptionist is responsible for the professional and efficient managing of visitors, telephone calls and messages, as well as a variety of clerical duties that support customer services, information and referral and the operation and presentation of a professional office.
- Welcomes on-site visitors, determine nature of business and announces visitors to appropriate personnel. Directs or escorts visitor to specified destination, as needed. Maintains log of all visitors including name, affiliation, date and time of visit.
- Retrieves messages from the general voicemail and email inbox and forwards to appropriate personnel or program.
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Answers question about organization and provide callers with addresses, directions, and other information.
- Monitors visitor access to facility.
- Maintains fax machine, assists users sending faxes, retrieves, and routes incoming faxes.
- Periodically creates telephone contact lists and distributes to staff.
- Accepts and signs for packages. Notifies addressee of package arrival. Receives and sends out messenger or courier items.
- Responsible for ordering water, coffee, janitorial, postage and copier machine supplies as needed.
- Logs incoming and outgoing packages (Federal Express, UPS, etc.)
- Assist with participant payroll and bus token distribution from reception area
- Coordinates outgoing mail and distributes incoming mail.
- Types memos, correspondence, reports, and other documents as directed.
- Maintains calendar for use of offices and classrooms and posts this calendar daily.
- Performs a variety of clerical duties such as filing, photocopying and other duties as needed.
- Assures that reception area is clean and orderly.
- Performs other duties as directed by supervisor.
Other Related Job Duties
- Carries out mission, vision, and values established by the President/CEO and Board of Directors.
- Participates in the overall agency Accreditation Quality Improvement Process.
- Must have the ability to nurture respectful relationship with client and children and must be sensitive to the cultural needs of the population served.
Qualifications
- High school diploma or general education degree (HiSET)
- Two years experience as a receptionist or comparable clerical experience.
- Good verbal and writing skills.
- Excellent interpersonal skills.
- Computer literate.
- Good Phone Etiquette
Must be customer service oriented.
- Bilingual (English/Spanish).
Approximately 50% of time is spent sitting, while frequently required to walk, stand and bend. Must be able to talk and hear well. Good vision is imperative. Occasionally required to stoop, kneel, crouch or crawl. Employee will be required to lift and/or move unassisted up to 25 pounds.
