What are the responsibilities and job description for the Administrative Coordinator position at Park Presbyterian Church?
Title: Administrative Coordinator
Starting Salary: Up to $17.50 per hour
Reception of office visits
o To pleasantly greet all visitors to the church office; both congregants and outside persons
o To provide direction and insight to logistical issues with visitors to the church office
o To handle incoming phone calls and direct questions to appropriate ministry area
Day to day operations
o To receive and distribute incoming communications to appropriate staff person or commission
o To maintain appropriate stock of necessary equipment and supplies, as well as maintenance thereof
o To accept requests for use of church building, and direct requests to proper commission of Session
o To act as liaison to outside business persons/groups in absence of Pastor or commission chair
o To operate church office during business hours
Clerical responsibilities
o To communicate with congregation via email, phone, church e-blast, when necessary or requested by Pastor
o To prepare the worship bulletin for weekly and special services, including the order of worship and additional content at the direction of the pastor.
o To manage the monthly newsletter, including the following:
* Collect articles, information, and reports to be included in the newsletter
* Create and format the newsletter using media software, providing draft to pastor for review and approval.
o To manage the church website, updating calendar and event information, uploading sermons, and maintaining all areas in order to be current at all times.
o To manage the membership database in the ACS software, maintaining status changes and/or updates to member profiles and keeping all member-related information current.
o To receive reports from Commissions and Committees, and manage the preparation and timely distribution of the monthly Session Packet.
o To maintain church calendar and provide Custodian with a copy of building use requests
o To communicate with Pastor, Program Staff, and Support Staff of upcoming calendar appointments
o To assist Clerk of Session as requested with maintenance of church rolls, communications to the Presbytery and others.
Church Communication
o To maintain professional confidentiality concerning church business and personal information of members and staff.
o To handle church mailings in addition to regular reception of the mail
o To update and distribute congregational roster and directory annually or when otherwise requested
Assistance to Pastor
o To handle additional duties assigned by Pastor to help complete his/her work
o To receive and submit messages to congregation and others when Pastor is unable to do so
Relationships:
* Reports to the Pastor as Head of Staff
* Relates collegially as support staff member to the other members of the church staff.
* Relates to and works with Custodian concerning logistical and business related matters
* Relates to Administration Commission of the Session for oversight of work
Qualifications:
Previous administrative assistant experience is strongly preferred.
* Must have an active membership in a Christian Church and a vital relationship with Jesus Christ as Lord and Savior
* Must have the ability to communicate effectively and nurture relationships with both congregants and outside persons
* Must be proficient with Microsoft Suite, software required to compose media documents for newsletters, Session documents and reports, website maintenance, and data entry.
* Must have the ability to train and support volunteers when necessary
* Must have qualities of leadership and self-motivation
* Must have Act 34 and Act 151 clearance
This position is a part-time hourly position (16-20 hours/week)
