JOB SUMMARY:

The Medical Collections Supervisor position provides comprehensive advanced supervisory support to the staff of Pathology Billing Services, LLC, to enhance the efficient operation of the department.  All work generated is expected to be verified for accuracy. All employees are responsible for supporting the company’s goals and mission, by following all company policies and procedures. 

 

ESSENTIAL FUNCTIONS:

Operations specific:

 

  1. Act as first line supervisor to all Patient Account Representatives employees of PBS, LLC.
  2. Generate routine and impromptu reporting for the staff as it pertains to managing the workflows ensuring the integrity of the data.
  3. Prepare recommendations for problematic payor trends and present, in writing to the Billing Manager.
  4. Maintain “Date Time Lines” for payor issues when the inconsistencies begin. 
  5. Monitor workflows in all areas and maintain a current knowledge of each employee’s desk status.
  6. Report any known backlogs, in writing, to the Billing, with a recommendation for resolution.
  7. Evaluate, manage, and report quality and quantity to each employee on a monthly basis within the given guidelines that coincide with month end closing deadlines. Utilize billing software, employee stat reports and phone system software.
  8. Report any inconsistencies in payor activity, trends, workflows or software to the Billing Manager in writing.
  9. Provide a written report of outstanding tasks and projects to the Billing Manager on a weekly basis.
  10. Prepare all required month end reporting by given deadline.
  11. Coordinate and facilitate meetings with payors.
  12. Generate electronic billings to insurance companies and patients.
  13. Draft office policy and procedure, to include updates as needed; submit to the Billing Manager for approval.
  14. Maintain updated knowledge of the group’s contractual agreements and report any discrepancies in payors reimbursement patterns to the Billing Manager, in writing.
  15. Coordinate department and company operating procedures with all other intercompany management to ensure that all departments correlate for a successful outcome.
  16. Remain available to assist with cross-coverage for other departments as needed.
  17. Maintain and support a working knowledge of HIPAA, government, and all applicable compliance standards.

 

Management of staff:

 

  1. Prepare work schedules, verify hours worked, approve time off requests and monitor PTO schedules for hourly rate employees.
  2. Assist with the interview and recruitment of PBS, LLC employees.
  3. Assist with the annual evaluation and disciplinary action of PBS, LLC employees.
  4. Monitor the staff’s daily activity and interact with them at a minimum of three times daily.
  5. Coach employees and provide manageable goals when they are not reaching quota in either quality or quantity.
  6. Review and respond to employee questions, concerns and issues within a 24-48 hour period.
  7. Implement training to staff using current accurate documentation and document training process using established company status and progress procedures.
  8. Report any disruptive behavior patterns to the Billing Manager with a recommendation of resolution.
  9. Maintain anecdotal notes of discussions or intermittent occurrences as they pertain to individual employees.
  10. Support and enforce policy and procedure to all staff members.
  11. Supervisor ensures that production targets are achieved.

 

ADDITIONAL FUNCTIONS:

  1. Remain available to interact with difficult clientele telephonically
  2. Assist with billing duties as needed.
  3. Assist with mailing of claims and correspondence as needed.
  4. Assist with special projects as needed.
  5. All duties as assigned.
  6. Initiate employee evaluation and corrective actions.

 

MINIMUM QUALIFICATIONS:

  • Five years of advanced Accounts Receivable billing support experience with Supervisory skills in a corporate setting. 
  • Knowledge of business software including word processing, spreadsheets, and application presentations. 
  • Intermediate to advanced experience with Microsoft Office applications.
  • Previous experience with preparing and presenting employee performance evaluations.
  • Exceptional verbal and written communication skills to be utilized in interfacing with all levels of management. 
  • Excellent organizational skills and ability to manage multiple and diverse priorities simultaneously, meeting deadlines as required. 
  • Ability to handle highly confidential information. 
  • Ability to exercise independent judgment. 
  • Knowledge of standard office equipment. 
  • Ability to lift a minimum of 35 pounds and sit for long periods of time.
