We have the following position available:
Office Administrator (FT/temp)
 
 
The Office Administrator will be working in our client's field office for a pipeline construction project. During construction, various forms and paperwork will be submitted that need to be verified and maintained so they are readily accessible for all stakeholders on the project. An exceptional candidate will be self-motivated, flexible and detail orientated, with strong organizational skills, a basic understanding of the construction process, and computer proficiency.
 
 
Responsibilities:
  • Maintain and file construction records (MTRs, Heat Numbers, Inspection Reports, etc.)
  • Track and Coordinate project deliverables
  • Schedule and coordinate meetings
  • Write meeting minutes
  • Assist Chief Inspector, Project Manager(s) and inspection personnel as needed
  • Manage the field office
  • Keep office facilities clean and organized
  • Greet Visitors and direct them to the proper personnel
  • Keep office supplies filled
  • Perform administrative tasks and clerical duties for Senior staff
  • Perform errands as necessary
  • Data entry
Education/Skills/Knowledge:
  • Must have a high school diploma
  • Must be proficient in Excel, Windows, Word, and Adobe, strong organizational skills, self-motivated and efficient with computers tablets scanners etc.
  • Must be able to assist with organization of MTRs Heat numbers from fittings, pipes, Valves etc.
  • Must present themselves in a professional manor.
  • Must be able to keep detailed notes during project meetings.
  • Experience in the customer service industry is a plus
  • Experience writing reports, emails and project minutes in a professional manner
Other Requirements:
  • Must have a current drivers license
  • Must be fluent in English
