Our Boston studio is seeking a motivated and organized Office Coordinator with a welcoming demeanor to be the first point of contact for our busy studio. As an Office Coordinator, you will play a critical role in providing exceptional customer service and in helping to create a supportive work environment. Primary responsibilities will include greeting visitors/staff/clients, answering phone calls, managing inquiries, and assisting with administrative responsibilities. The ideal candidate should have a willingness to learn new tasks for personal and professional growth and development.
As an Office Coordinator on the Perkins&Will Boston team, you will:
Administrative/ Welcome area
- Provide general office support and assistance for a busy design studio with 165 employees. Greet visitors/staff/clients in a professional demeanor, ensuring a welcoming environment in the studio.
- Provide administrative support such as: receiving and distributing packages, coordinate shipping and couriers, maintain calendars, print documents, and answer phone calls.
- Assist the Office Manager with scheduling and coordinating office meetings/events and internal/external social gatherings or functions. Coordination of these functions can include sending out invites, studio furniture set-up and office tours.
- Assist in ordering/coordinating office supplies, groceries, stationery, and personal care items. Assist with keeping kitchens clean, stocked, and organized.
- Maintain professional appearance of office reception area, conference rooms, and common areas.
- Liaison to Building Management and Parking.
- Additional administrative duties and tasks assigned.
Lunch & Learns/ Materials Library
- Schedule and coordinate logistics for Lunch & Learns with reps.
- Help with organizing and maintaining the Resource Library with stocked material and samples.
Growth Opportunities
- Receive training to provide administrative support to various practice areas, including document preparation, drafting contracts and filing.
- Receive training on coordinating travel logistics and handling expense reimbursements for senior management team and provide ad-hoc support.
- Receive support to become a notary public in Massachusetts.
Requirements:
- 1-3 years of proven experience as an office coordinator, administrative assistant, or in a similar customer-facing role is preferred.
- Effective verbal and written communication skills with the ability to interact professionally with individuals at all levels.
- Strong organizational and multitasking abilities, with exceptional attention to detail.
- Problem solving skills and motivation to learn.
- Ability to work independently as well as in a team environment.
- Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel, PowerPoint & Outlook).
- Associate’s or Bachelor’s degree a plus.
