What are the responsibilities and job description for the Operations Manager position at Perkins+Will?
The Operations Manager will oversee the day-to-day coordination and operations of the studio; facilitate the implementation of established policies and procedures; assist with confidential matters.
This position reports to Director of Operations and Assigned Principals.
Common and baseline responsibilities of an Operations Manager, include but are not limited to:
Operations and Staffing Support
- Manages contracts with vendors, such as caterers, product suppliers, delivery services, etc.
- Reviews and provides cost savings recommendations as needed.
- Tracks and maintains office expenditures.
- Responsible for equipment and maintenance contracts (excluding computers and printers).
- Run weekly staff availability reports.
- Facilitate weekly staffing meetings and provide follow up as required.
- Connect available staff with project team needs.
- Meet with project managers and finance team to review project performance.
- Assist in reviewing, monitoring, and approving expense reports.
- Assist in reviewing timesheets, overtime reports, and chargeability reports, reporting trends as needed.
- Assist in monthly collections and earnings, assist with collections efforts as needed.
- Other duties as required.
Studio Coordination
As a member of the studio administrative support team, the Operations Manager will be a partner in:
- Organizing officewide events, such as:
- Employee celebrations (birthdays, anniversaries, showers)
- Summer picnics
- Lunch & Learn events
- Holiday Party
- Student tours and other pro-bono type events held within the office
- Overseeing studio coordination, which includes setting up new hire workspaces, client and visitors, repairs, maintenance, printers, and supplies; researches and recommends alternative solutions.
- Assigning security cards to new employees, terminating cards of exiting employees, maintains office keys, and making new keys as necessary.
- Developing safety strategies in case of emergency and coordinates between office staff and building management.
- Organizing off-site dead-filing and storage coordination.
- Assists with special events as needed.
- Other duties as required.
The Operations Manager will be working in a fast-paced, creative environment with passionate team members who are focused on quality and execution. This position manages a variety of simultaneous projects, which requires the talent of being able to
shift priorities independently and communicate effectively with all levels of the organization. The Operations Manager is a self-starter, experienced in managing a wide range of office operations and executive support related tasks, and able to anticipate
the needs of leadership.
- 5 yrs. office management experience in professional services, office environment.
- Demonstrated high-level proficiency in Microsoft Office tools, including Power Point and other presentation technologies.
- Knowledge of Deltek Vision preferred.
- Impeccable organization and efficiency skills; strong attention to detail to ensure timely follow-up and bring all issues to closure.
- Clear, concise and articulate communication skills - verbal, written and listening
- Able to take on ad-hoc assigned tasks, work flexible hours as required.
- Self-sufficient and self-motivated.
- Works with little supervision, identifies opportunities and executes on projects to improve organization and efficiency.
- Team player with outstanding interpersonal skills.
- Able to balance multiple tasks and prioritize workload in a fast paced and demanding environment with short deadlines.
