PETROL, a leading award-winning advertising agency recognized for its work with the biggest names in tech, sports, and video games, is seeking an experienced full-time Project Manager. With dedicated in-house teams that include print services, motion graphics, AV, social media, interactive/digital, and media planning & buying, we are at the forefront of developing innovative integrated global marketing campaigns for major brands around the world.
OVERVIEW
This position is primarily responsible for overseeing campaigns and projects within the agency from strategy and brief development through final production deliverable. The Project Manager leads highly complex or multi-channel projects across all disciplines, with the goal of ensuring timely input from agency subject matter experts in all areas required for successful delivery of the completed project. The Project Manager may also lead process improvement initiatives assigned by the Director Of Operations.
RESPONSIBILITIES
- Creates and maintains project workback calendars with assigned account management lead
- Project initiation including preventing false starts by not allowing work to commence prior to receiving all the information from account and planning needed to properly inform the project team.
- Creates and maintains project timeline, communicates daily action items and maintains status reports for team meetings.
- Manages project communications internally and between all departments. The Project Manager communicates directly with individual team members to reiterate the scheduled deliverables, relay revision requests, record the job’s progress, and to address obstacles as they arise.
- Provide an agenda and post-meeting recap to key stakeholders for all meetings scheduled by Project Management (capturing decisions, due dates, internal direction and documented history).
- Retains an overview of the project; tracks the milestones (as well as the details) of project deliverables. Identifies scope creep (including re-brief, additional rounds or deliverables added after kick-off).
- Schedules internal review meetings between account, strategy, creative and creative services.
- Ensures that team members are completing the appropriate checkpoints throughout the process. Confirming creative reviews, contact reports, pre-bids, shoot and production schedules are kept on track and key dates maintained in project timeline.
- Sets up and participates in creation of best practices retrospective on major initiatives collecting input from project team(s).
- Maintains project files in the agency shared job folder.
- The assigned producer will begin the completion report and the Account Manager will confirm its completion and all parties have reviewed and approved. This will be supplied to PR and Creative Resources for Award show entry.
- Champions the agency’s process to ensure that quality of work is delivered.
- Works with Creative Resource Manager and Operations department leads to develop project roster for Completion Report and Status Report
- Keeps Account team leaders and/or Operations lead informed of any issues or concerns that affect the department.
- Facilitates the day-to-day deliverables of internal deadlines (based on client due dates) with a focus on stabilizing the shifting project triangle (scope, schedule, budget).
- Collects and retains a concrete record of approvals (internal and external).
- For non-retainer clients Project Manager collects labor hours estimates based on client and agency approved scope of work. Monitors the hours-‐estimated against hours-‐billed to a job.
- Flags scope creep (whenever possible).
- May include other duties as assigned
Qualifications
- 2-3 years of previous experience working as a project manager or producer
- Required BS/BA degree in Production or Project Management.
- Client facing experience is a plus.
- Must have general knowledge of the creative advertising process. Print and packaging experience is also a plus.
- 2D, 3D art, or design background is a plus.
- Passion for video games is a plus.
- Must have outstanding verbal and written (English) communication skills for emails and presentations
- Must have strong organizational and analytical skills with the ability to manage multiple projects at once.
- Must be detail oriented, resourceful and have the ability to follow directions and prioritize tasks.
- Must be flexible and adaptable with face paced environments
- Proficiency with MS Office (Word, Excel, PowerPoint, Outlook)
- Proficiency working with project management software including or similar to Favro, Google Docs/Sheets, SmartSheet, Slack, Workamajig Creative Pro,
- Experience with Adobe Creative Suite (Photoshop, Illustrator, InDesign) is a plus
