Position Summary:
Prepare periodic sales and use tax calculations for related filings. Support operational accounting functions, including accounts payable and certain month-end close tasks. Assist with the tests of internal controls.
Essential Job Functions & Responsibilities:
- Aid in preparation of monthly sales and use tax calculations, filings, journal entries, and reconciliations.
- Aid in preparation of tax and compliance filings in line with respective filing deadlines.
- Prepare state annual reports and business license renewal applications.
- Coordinate and maintain state tax exemption certificates to include identifying expiring certificates, coordinating request, receipt, and validation of replacement certificates.
- Accounts Payable responsibilities to include:
- Prepare A/P vouchers based on invoices received and route to the appropriate manager(s) for approval, ensuring property vendor number, accounting codes, invoice number, date and amount, and due date.
- Prepare A/P vouchers related to inventory or other supplies and perform a three-way match (cross-referencing the invoice with its corresponding purchase order and receiver) and ensure proper authorization and documentation.
- Enter vouchers into the accounting system and review vouchers proof listing.
- Prepare checks and ACH payments on a weekly basis.
- Prepare necessary data for various periodic analyses, including annual TPA allocation rate analysis and insurance renewals.
- Run financial reports for management as requested.
- Assist with maintenance of capital expenditures and leases.
- Maintain monthly reconciliation log.
- Maintain YTD Detail Sales Report
- Prepare consolidating financial statements.
- Prepare monthly journal entries and reconciliations as assigned.
- Assist with monthly and quarterly reporting to headquarters.
- Prepare census reports and support other governmental reports.
- Gather documentation for JSOX internal control testing and perform tests with the assistance from the Manager of Financial Reporting.
- Back up key operational Finance tasks, as needed.
Education and Experience Requirements:
Associate’s degree with an emphasis in Business, Accounting, or Finance plus up to four years related experience. Bachelor’s degree preferred.
Skills Required:
Detail oriented and mathematical accuracy are important. Strong interpersonal, team skills, and communication skills, both written and verbal. Flexibility and willingness to learn and adapt to new processes and procedures. Proven mathematical ability as well as strong proofreading skills, accuracy, analytical and attention to detail. Ability to complete projects within the assigned deadlines. Maintain a professional demeanor and have ability to work and communicate with all levels of employees and management. Intermediate working knowledge of Microsoft suite software to include Excel and Word, including Excel pivot tables and macros. Adobe, VAI/S2K, and Monarch knowledge a plus.
