What are the responsibilities and job description for the Administrative Assistant position at Pine Tree Farms, Inc.?
Assist in customer service, invoicing, purchasing, telephone support as needed.
Coordinate inbound and outbound shipments and scheduled pickup and delivery appointments.
Contact carrier representative to make arrangements and to issue instructions for shipping and delivery of materials.
Determine shipping methods, obtaining rate quotes and arranging shipments using knowledge of shipping procedures, routes, and rates.
Prepare documents, such as invoices, packing slips, bills of ladings and NAFTA Documents; Insuring such documents are accurate and up to customers specific shipping requirements
Record shipment data, such as weight, charges, space availability, and damages and discrepancies, for reporting, accounting, and recordkeeping purposes.
Confer and correspond with others such as office staff, customers and shipping representatives to rectify problems, such as damages, shortages, and nonconformance to specifications.
Create, implement and work with warehouse personal and other staff to form a the production schedule, reviewing and adjusting as needed to ensure product is shipped out in a timely manner
Able to multitask in a quick paced environment
Must be familiar with office equipment
Experience preferred; Microsoft Office – Specifically Word & Excel and Customer Service
College Education preferred
