ORM Fertility is an internationally recognized fertility clinic comprised of five physicians sub-specialized in Reproductive Endocrinology, full-time genetic counselors, cutting-edge embryologists and a team of very talented clinicians and administrators.
Summary:
We are seeking an experienced and skilled Third Party Reproductive (TPR) Navigator to join our ORM Fertility team in Downtown Portland Oregon. The TPR Navigator is a fertility treatment navigator for patients pursuing IVF with egg donation, embryo donation, and/or surrogacy. The coordinator will consult, educate, and guide the patient throughout treatment under the direction of the physician. Must be able to work Monday - Friday 8:00am- 4:30pm with rotating weekend and holiday shifts, meeting with patient in clinic and covering patient care and coordination for all TPR and Donor cycles.
Responsibilities:
- Plan, organize, and implement a personalized treatment plan and timeline for each patient or couple.
- Provide education to the patient and necessary documentation, such as treatment calendars and clinical orders.
- Facilitate communication between the patient and physician, embryology, genetics, financial, donor navigators, psychologists, outside agency partners, attorneys, and other involved parties.
- Respond to patient communications quickly, with warmth and professionalism.
- Chart documentation of all patient instructions, in person meetings, medications, lab results, and cycle plans.
- Keep up to date on clinic protocols and workflows to ensure smooth operation of the clinical programs.
- Treats other staff members with respect and demonstrates teamwork and compassion in daily work relationships.
New Patients:
- Consults with new and returning patients within 1-2 business days of the MD Consult to review and educate about the
- treatment process, timeline, and required pre-testing.
- Reviews all pertinent medical information and previous records, including overseeing requests for additional medical
- records as needed.
- Responsible for the coordination and organization of personalized patient treatment plan.
- Arranges for introductions to egg donor database, embryo donation coordinator, financial coordinators, and surrogacy
- agencies as appropriate.
- Pre-Cycle Testing
- Provides test orders and instructions how to complete all necessary testing.
- Schedules and coordinates uterine evaluations, mock cycles, and other reproductive testing.
- Tracks donor and intended parent carrier screening and genetics consultations. Ensures genetic testing is completed in a
- time appropriate manner.
- Understands FDA policies and advises patients on how to complete FDA testing steps as appropriate.
- Facilitates planning for Portland visits for domestic and international patients and prepares an itemized itinerary.
- Ensures full pre-cycle testing is complete and documentation obtained before the start of treatment.
Cycle Planning and Communication:
- Facilitates the development of the treatment plan under the direction of the physician.
- Directs patient expectations throughout the course of cycle planning and is able to clearly communicate next steps.
- Communicates treatment results, medication dose changes, physician instructions, and donor stim updates.
- Responds to patient communications within 2-3 business days. Maintains superior customer service throughout all
- patient interactions. Facilitates communication between MD and patient as appropriate.
- Triages medical concerns throughout patient cycle process and in early pregnancy.
- Remains in frequent contact with donor coordinator, donor agency, and/or surrogacy coordinator regarding progress of
- treatment and planning for timelines.
- Maintains confidentiality of all information related to patients.
- Collaborates with all ORM teams to ensure smooth operations of the TPR program and clinical workflows.
Cycle Coordination:
- Creates the patient timeline and ensures necessary teachings and injection trainings are completed.
- Creates calendars, flowsheets, medication orders, requests for pricing, and cycle start notices.
- Facilitates outside monitoring logistics including identifying a center, sending orders, and obtaining results.
- Ensures appropriate IVF consent forms are signed and legal clearances are received prior to the start of treatment.
- Utilizes Lab Notes to communicate cycle plan to Embryology team and ensures Lab Notes are completed in a time
- appropriate manner.
- Team Participation
- Supports development of the TPR Navigator role.
- Participates in new hire training as necessary.
- Attends all clinical and TPR meetings.
- Occasionally attends surrogacy agency visit meetings, lunch and learns, and other education opportunities.
Requirements:
- Experience as a TPR or IVF Nursing Service strongly preferred
- Experience as a TPR or IVF Navigator preferred
- Bachelor’s degree preferred
- Periodic extra hours may be necessary in order to respond to peak work demands
- Frequently faced with multiple tasks and conflicting priorities.
- Communication and reasoned decision-making are necessary.
