Basic Purpose
This team member is responsible for managing the accounts payable email inbox, entering receipts in ERP system (Navision), confirming vendor statements, as well as greeting visitors, answering incoming calls, opening mail and distributing appropriately, and providing general office support with a variety of clerical activities and related tasks.
Essential Duties and Responsibilities
1. Answer telephone, screen and direct calls. |
2. Provide information to callers such as company address, directions to company location, company fax numbers, company website and other related information.

3. Greet persons entering facility and direct person to correct destination. |
4. Receive and sort mail and deliveries. Open and time stamp mail. Route mail and deliveries to proper recipient. |
5. Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.) and signs for deliveries to the company. |
6. Maintain the phone and email list of all company staff.
7. Maintain Petty Cash.
8. Enter purchase receipts in ERP system (Navision) against purchase orders.
9. Manage AP email inbox. Forward invoices for appropriate approvals; forward to AP Coordinator for entering in Navision.
10. Match invoices to packing slips and forward to AP Coordinator.
11. Review the weekly AP check run for accuracy.
12. Confirm vendor statements to AP subledger in Navision.
13. Provides other clerical support as required. |

Skills/Knowledge/Abilities
- High school diploma or equivalent (GED).
- 0-6 months of relevant experience and/or training, or equivalent combination of education and experience.
- Excellent organizational and interpersonal skills, including the ability to effectively communicate with external and internal customers
- Outgoing and professional personality
- Strong Word and Excel skills
- Ability to successfully manage multiple priorities in a fast-paced environment.
- Bi-Lingual (Spanish) preferred but not required
