Overview
In this role, the Operations Administrative Assistant will support the executive team by coordinating activities and ensuring the timely flow of information to and from the executive office. S/he will manage external contacts for the executive team, ensure the smooth operations of the office, and perform various administrative tasks as required. The ideal candidate will be organized, attentive to detail, and an enthusiastic people person.
This role is hybrid, three days in the office, two days working from home from 8:30AM-5:00PM
Responsibilities
Key Responsibilities
- Perform various data entry and other administrative duties.
- Act as the point of contact between the executives and internal/external clients.
- Screen and direct phone calls and distribute correspondence.
- Manage the office calendar, schedule meetings, and appointments
- Maintain departmental office supplies, establish, and maintain administrative files, and ensure the organization and smooth operation of the office
- Responsible for confidential contracts/letters/memos, routing and delivering incoming mail, and preparing outgoing mail.
- Perform various data entry and other administrative duties. • Perform various other duties as assigned
Qualifications
Requirements
- Bachelors Degree preferred.
- 2 years of applicable experience within data entry and administrative assistant experience.
- Demonstrated ability to handle confidential information appropriately.
- Excellent written and oral communication skills.
- Must be proficient in the use of PC, Excel, Microsoft Office Suite (Highly skilled in all facets of Microsoft Excel).
- Outstanding organizational and time management skills.
- Experience with contracts, addendums, proposals, invoices.
- Knowledge of office management systems and procedures.
- Ability to multitask and prioritize daily workload.
- Ability to execute discretion and work with sensitive information Strong interpersonal skills and good judgment.
- Ability to solve problems as they arise.
- Proven ability to work independently.
- Flexibility and willingness to work after hours according to business demands.
