Overall Objectives of Position The Activities Coordinator is responsible for planning, developing, coordinating, and supervising a comprehensive activities program to provide a better quality of life for senior tribal members that live independently in the community. The Activities Coordinator will be responsible for planning outings, crafts, activities, games, and other various activities as well as coordinating with other agencies. The Activities Coordinator is expected to perform all duties and responsibilities necessary to meet the goals and objectives of applicable programs. The Activities Coordinator is expected to live the Purpose and Values of the Poarch Band of Creek Indians and will go beyond the call of duty.
Primary Responsibilities of the Activities Coordinator
- Prepares a monthly calendar of events.
- Promotes activities for the Senior Services Department in the community (personal contact, newsletter, etc.).
- Coordinates activity program/events that promote positive character and physical wellness for the senior tribal members.
- Prepares and collects proper documentation for participants to attend Senior Services events.
- Plans and arranges for special holiday parties and events.
- Assists the Senior Services Manager with coordinating arrangements for SAIL Center trips.
- Assists the Senior Services Manager and Director-Family Services with development and implementation of goals, objectives, policies, procedures, and priorities of the Senior Services Department.
- Performs other duties as assigned by appropriate person.
Day-to-day Responsibilities
- Coordinates activities of paid and volunteer personnel and informs the Senior Services Manager in writing of such personnel.
- Assists Senior Services Manager with supervision of all activities arranged by the Senior Services Department.
- Plans for materials needed for activities, supervises and directs various crafts, painting and other games/activities.
- Assists the Senior Services Manager and Director-Family Services with maintaining appropriate program budgets including, but not limited to, the preparation of monthly, quarterly, and annual reports and the designation and distribution of funds.
- Coordinates arrangements for transportation to and from events and activities offered by the SAIL Center.
- Communicates with the seniors to obtain feedback regarding events and activities. Works to improve experiences for the seniors based on their input for activities and events.
- Requests and maintains accurate inventory of equipment and supplies as needed.
- Prepares and maintains accurate and complete records, including reports and necessary documents.
- Serves as a back-up for delivery of homebound meals to those elders participating in the Senior Services program.
Education/License/Certification and Experience Requirements
- High School diploma or equivalent required. Associate’s degree preferred.
- Two (2) years of employment experience working with the senior population required.
- One (1) year of event planning preferred.
Skills Required
- Absolute confidentiality.
- Must have a working knowledge of computers with the ability to work in a Windows environment with various software programs such as Word, Excel, etc. Must successfully pass pre-employment computer skills exam.
- Must be people oriented and relate well to people from diverse backgrounds.
- Ability to be creative and willing to participate in and lead activities such as arts/crafts, painting, making floral arrangements, board games, card games, stretching exercises, etc.
- Must be in good physical condition with the ability to sit, stand, walk, kneel, crouch, stoop, squat, and twist for an extended period of time as well as climb, lift, hold, and move objects weighing a minimum of fifty (50) pounds.
- Must be able to communicate effectively, both verbally and in writing.
- Must possess character that earns the confidence of program participants and community, and minimizes public criticism or complaints.
Additional Requirements
- Must possess and maintain a valid state driver’s license and insurable driving record according to Tribal insurance guidelines.
- Must successfully pass the required criminal and character background check.
- Must travel and participate in required training, leadership development, and other events.
- Ability to adequately and successfully perform all duties and responsibilities of this position.

COMPLAINTS ABOUT RECRUITMENT PROCESS:
Complaints about the recruitment or selection process for employment should be directed in writing to the Human Resources Director of PCI Tribal Government.
An applicant who disagrees with any issue related to the application or hiring process may submit a letter to Human Resources within ten (10) calendar days from the date the applicant knew or should have known that an adverse hiring decision had been made.
Human Resources will provide a written response within fourteen (14) calendar days informing the applicant of any administrative remedy to be provided. The decision of the Human Resources Director shall be final and not subject to further administrative appeal. Any applicant who has exhausted all administrative remedies may be eligible to file a complaint with the TERO Office.
