The candidate must possess outstanding attention to detail and organizational skills, as well as an ability to work well under tight deadlines, to ensure that documents are updated accurately and in a timely way. The candidate will need to work closely with subject matter experts to identify potential changes to policies and documents and will oversee the vetting/review process of these materials, carefully documenting review and changes for archives.
The Communication Specialist for Documentation maintains archives of the Provider Manuals and is responsible for conducting an annual review of Provider Manuals involving maintaining a comprehensive list of content owners, outreaching to content owners for annual review, collecting and making necessary revisions, and finalizing documents.
This role will also work closely with other colleagues on the Provider Communications team to institute a new process for reviewing provider website content on an annual basis and updating it as necessary.
In addition, the Communications Specialist may assist the Provider Communications team in planning, writing, and distributing other materials, including FAQs, newsletter articles, website copy, presentations, flyers/one-pagers, talking points, etc.
In addition to strong writing, editing, and project management skills, the candidate should have an understanding of the provider network audience, as the job entails communicating technical and administrative information.
DUTIES/RESPONSIBILITIES – what you will be doing :
- Responsible for keeping Provider documentation including multiple Provider Manuals, forms, and policies up-to-date. Able to collaborate effectively with subject matter experts to identify relevant updates and ensure consistency among documents.
- Manages a comprehensive annual review of the Provider Manuals, coordinating review with content owners, Legal and compliance
- Maintains archives of Provider Manuals
- Collaborates with Senior Manager, Provider Communications, and team members to ensure materials adhere to brand standards
- Assists Website Production Coordinator with posting of policies and other materials to the provider websites
- Assists in provider mailings and outreach, working with data, mail and email address files
- Conducts proofreading to ensure information is accurate and consistent with brand guidelines and corporate style/voice
- Reviews competitor information to help identify best practices and procedures.
- Writes and edits engaging materials for various print and digital channels including website pages, newsletter templates, flyers, one-pagers, FAQs, and educational materials. Coordinates with graphic designer on layouts.

Qualifications – what you need to perform the job
EDUCATION, CERTIFICATION AND LICENSURE:
- Bachelor’s degree, communications/English/health care communications
EXPERIENCE (minimum years required):
- 3-7 years of experience in health communications/documentation
- Strong understanding of provider network operations/policies
- Proven ability to meet deadlines
- Strong organizational/project management skills
SKILL REQUIREMENTS:
- Must be a self-starter with the able to produce high-quality communications under tight deadlines
- Excellent collaboration skills and strong attention to detail
- Ability to manage multiple projects, adapt to shifting priorities, and meet production deadlines while maintaining accuracy
- Proficiency with MS Suite (Word, Excel, PowerPoint) and Adobe Acrobat
- Experience with content management systems (WordPress, Kentico, and/or Drupal)
- Expertise in translating complex subject matter into easy to understand, compelling communications
WORKING CONDITIONS AND ADDITIONAL REQUIREMENTS (include special requirements, e.g., lifting, travel):
- Must be able to work under normal office conditions (hybrid)
- Work may require simultaneous use of a telephone/headset and PC/keyboard and sitting for extended durations
- May be required to work additional hours beyond standard work schedule
