Summary:

The Sales Coordinator is responsible for selling, detailing, and coordinating all weddings and events, ensuring that the guests’ expectations are exceeded.


Essential Duties and Responsibilities:

  • Accept all requests for proposals and pursues all leads for events and wedding business including responding to inquiries and executing proposals and contracts.
  • Develop and distribute all communications related to the planning and execution of group functions, including but not limited to banquet event orders (BEO’s) and room sets according to the established guidelines.
  • Responsible for all payment information and collecting deposits and progress payments as outlined in the contract and per standard operating procedures.
  • Maintain well-organized event records
  • Convert prospective clients into committed customers through on-site visits/meetings, property tours and proactive communication.
  • Maintain positive and productive relationships with internal departments and operations.
  • Committed to managing clients by providing the highest level of service and integrity.
  • On site for all of your planned rehearsals, weddings and events.
  • Assist in the selling/planning of other associate’s groups as needed and directed by the Director of Sales and Special Events.
  • Attend sales meetings and weekly banquet event order meetings.
  • Provide the results of the wedding surveys to management.
  • Understand and reinforces the Ponte values, service standards and ensures the safety of our guests and associates.
  • Understand and adheres to the Ponte values, safety and service standards.
  • Understand and adhere to environmental standards set by the winery.

Knowledge, Skills and Abilities:

  • Must have minimum of 3 years of wedding sales and coordinating related experience.
  • Experience selling weddings, function space and food and beverage.
  • Solid knowledge of sales principles, techniques and practices common in the hospitality industry.
  • Demonstrate ability to achieve and exceed sales goals by effectively negotiating and closing business.
  • Ability to handle guest’s challenges.
  • Excellent interpersonal and organizational skills
  • Must have strong computer skills and be proficient in Microsoft Excel, Word and Outlook. Triple Seat experience desirable.
  • Ability to work a flexible schedule including evenings/weekends/holidays as required.
  • Excellent communications skills including written and verbal.
  • Outgoing, personable, friendly with the ability to speak in front of clients and guests with clarity and confidence.
  • Strong organizational, detail management and multi-tasking skills.
  • Ability to treat all associates and guests in a respectful manner.
  • Exhibits integrity (honesty and truthfulness).
  • Is consistently striving to be better.
  • Courteous and has the ability to smile spontaneously.
  • Must have exceptional grooming standards that are consistent with company guidelines.
  • Ability to be “on-stage” for at least 75% of the time.
  • Must be able to work in a standing position for long periods of time.
  • Must be able to lift/carry up to 30 lbs.
  • Must be able to work outdoors in various weather temperatures.
