Job Description Fee-only registered investment advisor located in Central NJ along I-78 between the Garden State Parkway and I-287 is seeking a candidate with experience to fill a full-time Operations Associate position within our firm. The position will expose the chosen candidate to many aspects of the wealth management profession. This will include portfolio administration and direct contact with clients (largely phone and email, potentially in-person meetings). Training will be provided as required in these areas, but the candidate must have excellent writing and computer skills and working knowledge of the industry.
Past experience with Portfolio Reporting Systems (Tamarac, Axys, Black Diamond, Orion, etc.) is a plus as is prior experience servicing clients at custodians such as Charles Schwab, TD Ameritrade, and Fidelity).
Job Responsibilities Use the portfolio management software to create accounts on the firm’s system. Maintain the client section of the firm’s website to ensure accurate data reporting. Update client accounts as needed, usually quarterly, with new transactions for Alternative Investments. Perform frequent reconciliations between data on the portfolio management system and data at the custodians, where assets are held. Work with other departments within the office on various projects. Analyze historical statements for clients to determine cost basis and potential tax consequences/burdens as well as differentiate covered vs. non-covered securities. Aggregate yearly tax information to send to clients. Prepare, review, and distribute quarterly statements and billing invoices. Assist with the initiation of Alternative Investments, capital calls, and related matters Coordinate with clients, custodians, and internal staff regarding client service matters, such as processing new account applications and account transfers, cash deposits and withdrawals, as well as other account issues Monitor workflow between our office, clients, and the account custodians Communicate with clients and custodians to follow-up on outstanding items
Ideal Candidate Skills/Characteristics Bachelor's degree from 4-year institution with strong GPA. Relevant business majors are preferred, but all will be considered. Excellent command of the written English language is NECESSARY. Relevant job experience. Strong knowledge of Microsoft Office and related business productivity tools. Experience working with Alternative Investments Ability to manage competing priorities in a timely fashion. Mental acuity to work independently, but also function in a team environment when the situation dictates. Strong attention to detail. Ability to communicate information in a clear, concise, and professional manner. Experience with Tamarac (or other portfolio reporting systems) and Salesforce is a PLUS
