What are the responsibilities and job description for the PATIENT CARE COORDINATOR I position at Professional Physical Therapy?
Professional Physical Therapy is looking for Patient Care Coordinators to join an energetic team dedicated to patient care. Our administrative staff are just as integral to our success as our physical therapists. Ideal candidate for the position is an individual with exceptional customer and patient care skills, strong organizational skills, detail-oriented with an interest in a long-term position with potential for growth.
Essential Functions:
- Greet patients in a welcoming and energetic manner, in person and on the phone.
- Communicate effectively and compliantly via telephone, e-mail, and any other form of communication available with patients and staff.
- Manage the clinic’s schedule to ensure efficient and expedient patient care for walk-in appointments, scheduled appointments, and potential new patient appointments.
- Coordinate and schedule active patients based on the established plan of care.
- Register new patients through the intake questionnaire, input patient data and update electronic charts accurately.
- Communicate insurance benefits, authorization requirements and payment responsibilities to new and active patients.
- Review patient balance responsibilities for accuracy and provide basic balance related answers to patients upon request.
- Communicate and track patient balance related discrepancies with the RCO
- Collect and post all patient balances due including but not limited to deductible, co-insurance, co-payments, and retail sale related balances.
- Take necessary actions from Copay, Patient Not Scheduled, Patient Balance, and other various reports generated to ensure the successful operations of the clinic.
- End of day reconciliation including checked in appointments, documentation completed, charges posted, payments posted, and deposit completed.
- Maintain detailed and accurate records of over-the-counter collections daily and electronic bank deposits.
- Standard day-to-day clinical administrative responsibilities including document routing, scanning records, printing and preparing schedules, completing electronic task records, and checking and returning voicemails and emails.
- Work with the Clinical Admin Manager and Clinical Director to achieve goals based on attainable metrics and key performance indicators established by the regional and corporate management.
- Maintain a clean, inviting, and friendly environment within the clinic for current and potential patients including wiping down electronic devices used by patients.
- May be required to assist with clinical maintenance during down time, including the cleaning of treatment tables, exercise, and medical equipment.
- Order and maintain appropriate/approved office supplies.
- Practice confidentiality and privacy protocols in accordance with Company policies and HIPAA requirements.
- Attend company and departmental meetings as required
- Assist with the coordination of coverage for PTO
- Other duties as assigned
Qualifications:
- Must have the ability to exercise a high degree of diplomacy and tact, excellent customer service, communication and interpersonal skills.
- Must have excellent telephone skills; handling large call volume may be required.
- Must be flexible, able to accommodate the changing needs of the facility.
- Must have basic math skills; must be able to use standard office equipment.
- Must be willing to work nights and/or Saturdays; must be able to work a rotating schedule
- between the hours of 7 AM and 8:30 PM.
- Must have the ability to travel as required to perform job duties and cover other centers as needed.
- Must be able to effectively use computer programs (e.g. Raintree, YellowFin, Microsoft Teams, Word, Excel, Outlook)
Working Conditions:
- The Patient Care Coordinator works in an office.
- May be required to work long hours, nights and weekends.
- May be required to travel and work in a different clinic when needed
- May be required to sit or stand for long periods of time.
