Job Description:
We are currently seeking a dynamic and organized individual to join our team as an Administrative Assistant/ Office Assistant. In this dual role, you will provide essential administrative support to our executive administrative assistant while also playing a key role in overseeing the sales process and assisting with customer interactions. This position offers the opportunity to contribute to our company's success while working closely with our sales team and attending trade shows.
Responsibilities:
- Assist the executive administrative assistant with day to day operations.
- Handle incoming calls and correspondence, including customer inquiries and orders.
- Oversee the sales process from order entry to fulfillment, ensuring timely and accurate processing of orders.
- Collaborate with the sales team to follow up on leads, generate quotes, and close sales.
- Assist with customer relationship management, including maintaining customer records and addressing inquiries or issues.
- Assist with coordinating travel arrangements and accommodations for trade shows and customer visits.
- Represent the company at trade shows, engaging with customers and promoting our products.
- Provide administrative support for special projects and initiatives as needed.
- Mail out invoices, documents, and merchandise to customers as necessary.
- Maintain organization of office by organizing on a daily basis, helping unpack and organize after trade shows, filing, organizing new shipments of merch, and more.
- Data entry including but not limited to; uploading customer tax forms as received, entering in new leads from trade shows, inputting product pricing in systems when updated, and entering in customer histories from previous softwares.
- Run errands locally as needed, with reimbursement for gas.
- Help onboard new employees and facilitate orientation processes.
Requirements:
- Proven experience in administrative support and sales coordination.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, with a customer-focused approach.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook).- Proficiency in a CRM or ability to learn new systems.
- Ability to work independently and as part of a team in a fast-paced environment.
- Willingness to travel occasionally for trade shows and customer visits.
- Previous experience in the agricultural industry is a plus.
