What are the responsibilities and job description for the Complex Director of Events position at Provenance Hotel?
JOB SUMMARY
PRIMARY PURPOSE OF THE POSITION: The Complex Director of Events is responsible for managing each of three Provenance hotel’s catering and events operations in Portland. This includes but is not limited to selling and servicing all events at the Hotel deLuxe, Dossier, and Hotel Lucia as well as fielding event inquiries, establishing best practices and creating and executing unique activations.
ESSENTIAL FUNCTIONS: (This list of essential functions is not exhaustive and may be supplemented and changed as necessary.)
- Develop a complete knowledge of event space capabilities including catering and banquet food service standards and techniques, strengths and weaknesses and business opportunity by property.
- Build and maintain all best practices, pricing structures and guidelines for sales by property related to catering and events.
- Develop any needed policies and service initiatives to achieve optimal sales service and client retention at each hotel.
- Oversee catering events, pop ups and activations for all segments in the local market as well as maintain existing hotel accounts, service Group events, and working closely with the sales and operations teams to maximize hotel revenues.
- Help to enforce company service standards, participate in F&B meetings, and contribute to restaurant, bar and banquet staffing needs when necessary.
- Develop and maintain market awareness to ensure ability to predict revenue opportunities and set proactive strategies.
- Meet individual sales plans and goals for all local catering events by property.
- Monitor and analyze production of all new and existing top accounts and evaluate trends within your market, maintain prospect, independently solicit, and book business.
- Develop strategies to increase share from competitors when the hotel revenue penetration goals are not being met.
- Review and analyze market analyses to determine customer needs, volume potential, price schedules, and discount rates, and develops catering sales campaigns to accommodate goals of company by property.
- Analyze and control expenditures of division to conform to budgetary requirements.
- Focus on sales plan and strategy, client development, managing key relationships, identifying new target markets and sales product with the goal of meeting and exceeding revenue goals.
- Understand the competitive landscape and how to maintain leadership position given to market and economic changes. Adjust sales plan and strategies accordingly.
- Coordinate with F&B and hotel teams as needed to ensure proper execution of all functions designed by property.
- Use creative planning in the design and structure of catered events by property.
- Supervise and develops contracts, proposals, and customized menus to meet client needs, as well as financial goals.
- Outsource offsite catering companies and preferred vendors for hotels with limited structure or F&B operations.
- Conduct site inspections and tastings for clients as necessary to secure business.
- Greet client prior to functions/events as needed.
- Work closely with each hotel’s F&B tenants and operations.
- Conduct daily inspection of event space to ensure set-ups are correct and ready for show.
- Maintain daily communication and/or weekly reporting with sales and operations teams as well as F&B tenants when applicable regarding potential new business, lost business, customer and operational issues, discounted events, specialized room set, etc...
- Attend and participate in regular BEO and/or F&B meetings by property.
- Responsible for generating the 30-60-90-day forecasting for banquet and catering.
- Identifies operational challenges and works with the property team to solve these challenges and/or develop alternative solutions.
- Establish standard operating procedures for each evolving property F&B operations.

Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws and by each individual property’s structure.

- Ability to identify sales opportunities.
- Experience in F&B operations; restaurant or private dining and events.
- Experience managing multi-properties.
- Excellent communication and customer service skills, including the ability to problem solve without direct supervision.
- Excellent time management and organizational skills.
- Ability to handle sensitive, confidential information discreetly and professionally.
- Excellent verbal and written communication skills.
- Strong ability to track actions and follow through on processes.
- Strong computer skills; proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
- Strong detail orientation: ability to set priorities, multi-task and meet deadlines.
EDUCATION and/or EXPERIENCE: Post high school education required; or one to two years related experience and/or training in hotel sales or related field; or equivalent combination of education and experience. Bachelor’s degree in Hotel Management, Business Administration, Marketing or Communication preferred.
- Previous experience in a 4-to-5-star boutique hotel or restaurant (and the quality and services expectations associated therewith) preferred.
- Requires highly developed customer service skills.
