Providence Place is seeking a qualified Executive Coordinator. Providence Place has been in existence since 1895 and provides multi-purpose programming to various populations. These include adult survivors of human trafficking, adults with disabilities, women facing an unplanned pregnancy, families with children under the age of three and children and youth in foster care. We provide education, job search and therapeutic services to move individuals beyond day to day survival. We want everyone to have the opportunity to envision a different future and transform their story.

SUMMARY:
Executive Coordinator works independently and uses his/her experience and knowledge to provide high-level administrative support to the CEO, with some support for executive staff. The Executive Coordinator manages the CEO’s office, plus Board of Director liaison duties. Responsibilities include screening calls; managing calendars; making travel arrangements, meeting and event scheduling; preparing reports and presentations. Establishes and maintains effective, professional rapport to include occasionally responding to general inquiries and answering questions regarding Providence Place programs.
ESSENTIAL DUTIES:
1. Provides administrative support to CEO with the highest degree of confidentiality, accuracy, quality and efficiency, which may include, but not limited to; Board meeting preparations, coordinating schedules and travel arrangements; answering and routing incoming telephone calls; composing correspondence; Writes and edits e-mails, drafts memos, and prepares communications on the CEO’s behalf and preparing mileage, travel and business expense reports.
2. Contributes to the efficiency of the organization by providing personalized and timely support to executive members.
3. Takes the lead on and manages all of the administrative needs and deliverables relative to Board of Directors.
4. Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
5. Takes and transcribes minutes and provide administrative support meetings and reviews and evaluates all documents for accuracy.
6. Prepares and reviews presentations.
7. Proofreads documents for accuracy and completeness.
8. Receives and reviews for accuracy and adherences to policies and procedures, all documents for executive level approval and/or signature.
9. Monitor visitor access and maintain security awareness.
EDUCATION: Must have an Associates Degree in Business Administration or related field; Bachelor’s Degree preferred.
EXPERIENCE: Must have at least three (3) years’ experience as an administrative assistant; non-profit experience preferred.

Salary Range: $17 - $20 hr. depending on experience
** This position has a potential hiring incentive. Individual hired may be eligible for a $500 hiring incentive after 30 days of employment
