We are seeking a Department Coordinator- Pharmacy that will support the Director and the staff of the pharmacy department to maintain smooth and efficient functioning of pharmacy services to clinics across the Oregon region. The Department Coordinator acts as a liaison to various departments across Providence including other PMG departments, finance, IS, property management, and supply chain and other PMG departments.
In this position you will have the following responsibilities:
- Coordinate administrative support to the multiple managers and Director. Maintain calendar scheduling appointments and conferences. Make all necessary travel and itinerary arrangements and reports
- Prepare, submit, troubleshoot invoices, authorization, reimbursements. Research discrepancies in invoices and ledgers and seeks resolution. Ensure reimbursements are within contractual commitments
- Involved in the budget process and maintain budget records; make recommendations for budgeting for supplies and equipment based on volume and utilization patterns
- Facilitate and coordinate general office management functions for all department staff at multiple facilities: plan and coordinate moves (including cost estimates, Move Services, IS, Telecommunications, property management ); liaison to Clinical Applications Support Team (service requests, user access to appropriate information services); ensures all equipment is in working order and researches new equipment needs
- Support Departmental and PMG meetings: coordinate agenda preparation, confirm presenters, prepare and distribute agendas, meeting materials and minutes; ensure rooms and appropriate technology are available and functioning
- Design and maintain departmental share point sites
Qualifications:
Required qualifications for this position includes:
- Coursework/Training: 2 years of college coursework or business school training OR equivalent education/experience
- Two (2) years of related experience
- Five (5) years Experience in office management and/or administrative support
Preferred qualifications for this position include:
- Bachelor's Degree
