The Administrative Assistant will play a crucial role in supporting the efficient functioning of the office and contributing to the overall success of the firm. The ideal candidate will be professional, resourceful, and capable of managing various administrative tasks.

Responsibilities:

- Provide comprehensive administrative support to the team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Assist in the preparation, organization, and distribution of confidential documents, presentations, and reports.
- Serve as a point of contact for internal and external stakeholders, handling phone calls, emails, and other correspondence professionally and discreetly.
- Maintain accurate records and databases, ensuring data is up-to-date and easily accessible.
- Plan and organize meetings, conferences, and events, including managing logistics and catering.
- Expense Management: Track and process expense reports, invoices, and reimbursements in a timely manner.
- Oversee mail processing, office supplies, equipment, and general office maintenance, ensuring a clean and efficient workspace.
- Maintain strict confidentiality of sensitive information and ensure compliance with all relevant policies and regulations.

Qualifications:

- Minimum of a high school diploma; additional education or certifications in business administration or a related field is a plus.
- Proven experience as an administrative assistant or in a similar role, preferably within the real estate or private equity industry.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills.
- Attention to detail and the ability to work independently.
- Professional and discreet demeanor, as this role will deal with sensitive and confidential information.

Job Type: Part-time

Pay: $20.00 per hour

Expected hours: 15 – 20 per week

Ability to commute/relocate:

  • Charlotte, NC 28203: Reliably commute or planning to relocate before starting work (Required)

  • Customer service: 1 year (Preferred)
