As a vital member of the sales and projects team, the dispatcher role involves assigning trips to your team of drivers and road escorts. While supporting both your team and customers, you'll be responsible for transmitting critical information that may affect travel, customer deliveries, and invoicing to the relevant stakeholders. It's essential to update and follow up on this data effectively, using communication methods such as phone and email, as well as utilizing software tools. This ensures the delivery of impeccable customer service.
Roles and Responsibilities:
- Develop effective and efficient routes for truck drivers to ensure timely deliveries and optimize fuel efficiency
- Maintain constant communication with drivers to provide updates, address issues, and ensure compliance with schedules and regulations.
- Proactively identify and resolve issues that may impact delivery schedules, working collaboratively with drivers and internal teams to find solutions.
- Coordinate and schedule pick-ups and deliveries, considering customer requirements, driver availability, and equipment capacity.
- Ensure accurate and timely completion of all required paperwork, including bills of lading, delivery confirmations, and other relevant documentation.
- Utilize tracking systems to monitor the progress of shipments, identifying and addressing any delays or deviations from the plan.
- Stay informed about and ensure compliance with all relevant transportation laws and regulations, including hours of service and safety regulations.
- Provide exceptional customer service by addressing inquiries, providing updates, and resolving any issues that may arise during the transportation process.
- Collaborate with maintenance teams to schedule and coordinate routine maintenance for trucks, minimizing downtime and ensuring roadworthiness.
- Analyze transportation data to identify opportunities for optimization, cost reduction, and improved efficiency.
Qualification and Education Requirements:
- Proven experience as a trucking dispatcher or in a related logistics role.
- Strong knowledge of transportation laws and regulations.
- Excellent communication and interpersonal skills.
- Exceptional organizational and multitasking abilities.
- Proficient in using transportation management systems and tracking software.
- Problem-solving skills and the ability to make quick, effective decisions.
- Familiarity with geography and routing optimization.
- Ability to work in a fast-paced and dynamic environment.
- Flexibility to work non-traditional hours, including evenings and weekends if required.
- High school diploma or equivalent; additional education or certification in logistics is a plus.
