What are the responsibilities and job description for the Payroll Coordinator position at Quality Equipment, LLC?
PURPOSE
Responsible for ensuring timely and accurate processing of bi-weekly payroll for the entire employee population, responsible for the payroll process and reporting, uploading payroll information into EQUIP and actively involved in the development and continuous improvement of the processing and reporting of payroll activities through ADP.
BASIC FUNCTIONS AND RESPONSIBILITIES
• Execute bi-weekly disbursement of multi-state payroll, including garnishment and taxes consistent with federal and state wage and hour laws. Ensures that all payroll functions work appropriately (ie, HSA match, 401(k) match, direct deposit, etc.). Communicates with management and employees on any changes to the payroll processing cycle that may impact processing timelines and disbursement of funds.
• Maintain payroll data and overall payroll process in ADP. Ensures that all departments that need access to payroll processing data have access or provided the information.
• Analyze, prepare and input payroll data up to but not limited to:
• Enter/review entry of special payments (ie, commission, bonuses, etc.)
• Enter/review entry of all 401(k) changes reported by Voya
• Develop payroll reports to ensure compliance
• Reconcile reports to supporting documents
• Reconcile payroll tax accounts
• Enter payroll information into EQUIP and resolving any discrepancies
• Validate/error check pay data and GL information for new hires, transfers, promotions and terminations.
• Works with ADP ensuring that all reporting, internal and external, requirements are met.
• Assists, as needed, with reporting and providing documents for audits that are requested or required.
• Ensures that all documentation for changes input into ADP by payroll are both maintained in both payroll and HR files.
• Communicates all incorrect employee or pay information to the appropriate departments and works to find the appropriate correction needed. Communicates employee address changes to A/R that are entered into ADP.
• Ensures that terminated employees have their A/R status updated in EQUIP on a bi-weekly basis.
• Enters all A/R payroll deductions into EQUIP keeping account payments accurate and timely.
• Ensures that all garnishments are properly communicated to the employee, taken, and all employee changes are communicated to the responsible agency timely and appropriately.
• Ensures accurate and timely delivery of all quarterly/ year-end tax filings and W2s.
• Maintains current knowledge of ADP and all applicable laws/changes impacting payroll.
• Completes all state and federal payroll information reporting (ex. Multi-Site Reporting), as required.
• Maintains employee confidence and protects payroll operations by keeping information confidential.
• Determine and implement payroll processes and solutions that maintain and increase high level of accuracy and efficiency.
• Other duties, as assigned, by management.
EXPERIENCE, SKILLS, AND KNOWLEDGE REQUIREMENTS
• 4 years experience directly related to Payroll or a combined Payroll/HR related role
• Knowledge of a payroll laws (DOL, FLSA, IRS, etc.) required
• General accounting knowledge
• Strong people; written and verbal communication skills
• Excellent organizational skills and ability to work independently
• Ability to use Microsoft Office Applications including Microsoft Word and Microsoft Excel
• High School degree or equivalent experience
