Job summary


The Administrative Assistant – duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures.


Summary of essential job functions

This job includes the following duties and any other as assigned by current manager:


  • Provides administrative support to ensure efficient operation of office.
  • Develop and maintain filing system.
  • Keep track of office supplies that need ordering and research new deals and suppliers
  • Reply to email, telephone or face to face enquiries
  • Collect paperwork and other required documents for Safety and Human Resources
  • Complete DOT Physical, Drug and Alcohol request for service paperwork
  • Coordinating travel arrangements: flights, hotels, and rental cars
  • Setting up new employees for online training
  • Updating Safety/OSHA/Policy expiration fields in TMW
  • Maintains knowledge of federal, state and local laws and regulations and ensures company compliance
  • Assist in the compliance with the Federal Motor Carrier Safety and DOT regulations regarding Hours of Service
  • Assist the Dispatcher, Terminal, and Regional Manager in any and all tasks
  • Assist Training Department with any and all tasks
  • Support and cross train with other members of operations staff
  • Any and all other duties assigned
