Overview
This position is responsible for the coordination of activities and ensuring timely flow of information in support of the North Region President. The ideal candidate will handle details of a highly confidential and critical nature and must function efficiently and effectively in a fast-paced professional environment. They will have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines, screen and prioritize communications and opportunities from external and internal sources, and the ability to organize and maintain administrative processes is essential to this position. The ideal candidate will be dynamic, high-energy, organized, and able to support cross-functional coordination in a fast-paced environment and possess excellent judgment.

Responsibilities
This position will primarily support the President of North Region and will also be called upon to support additional senior leaders. The key responsibilities will be as follows:
- Ensure that administrative tasks are done in an effective, efficient and proactive manner.
- Screen and prioritize communications and opportunities from external and internal sources.
- Prepare communications and documents, such as memos, emails, invoices and other correspondence.
- Assist leaders with assigned projects.
- Create and run reports.
- Schedule meetings, appointments and maintain calendars.
- Arrange and prepare materials for staff and other meetings.
- Take notes and minutes in meetings.
- Manage the daily schedule the leaders, ensuring that they know their schedule 24 hours in advance and keeping appointments and meetings on time or changing schedules when necessary.
- Develop and maintain a system that alerts to upcoming deadlines on incoming requests or events.
- Manage travel & event arrangements. Proactively coordinate pre-planning with various internal functions, including arranging appropriate travel, agendas and necessary contacts, packaging marketing materials, and other necessary preparations.
- Respond to procedural requests.
- Support Board of Directors meetings - scheduling, meeting minutes, etc.
- Own programs such as, charitable donations management, pool car management, CME credits & faculty enrollments, scheduling client tours, office supplies management, etc.
- Understand organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed.
- Perform other duties as assigned to meet the business needs or customer requirements.
Qualifications
Education: Bachelor's degree or equivelent work experience
Required Work Experience:
- Minimum 10 years of equivalent work-related experience supporting C-level Executives.
- Experience interacting with customer’s senior executive leader / C-Suite office.
Preferred Work Experience:
- Mid to large size company experience
- Service industry or high-tech environment
- Notary

Skills:
- Highly proficient in the following software programs: (Word, /Excel/PowerPoint, databases).
- Extensive experience in administrative preparation of board presentations.
- Excellent written and verbal communication skills.
