See Yourself as an Office Services Coordinator
The Office Services Coordinator assists in maintaining the scope and quality of administrative services including managing mail services for a site, fulfilling a receptionist role, managing office and break room supplies, ensuring that physical security procedures are followed in managing on-site visitors and vendors. The facilitation of key tasks and procedures providing administrative support and customer service makes this role a critical partner on the Facilities team, taking daily direction from and coordinating functions with the Facilities Manager, acting under minimal supervision.
PRIMARY DUTIES AND RESPONSIBILITIES
Administrative activities including receiving, opening, sorting, routing, and preparing of incoming mail and making preparations for outgoing mail and packages assigning postage or printing FedEx labels
Print and prepare large files for mailing and prepares for USPS pickup
Reconcile monthly FedEx billing. Establishes relationship with FedEx rep to track packages and troubleshoot missed deliveries or packages
Receive returned checks for scanning and entering into daily log
Coordinate the receipt, storage, and issuance of stationary, some office supplies, and conduct periodic inventories and reorder items as needed
Prepare to act as first point of contact for internal facilities issues
Log maintenance and cleaning for janitorial if needed.
Receive and direct incoming Radian calls to appropriate personnel (check 8x8 voicemails)
Learn Radian's complex badge security requirements to properly receive visitors, contractors, and employees, escort guests, and partner with Facilities Managers to perform reception duties, tackling routine issues and problems accordingly
Develop a strong awareness of the office environment for tasks that require oversight, such as general hospitality services in maintaining client-ready reception area, conference rooms, kitchen/pantries, and common areas
Become familiar with building management and submit work orders as necessary
Inventory pantry supplies (coffee and other beverages), as well as all other beverages for refrigerators, regularly place orders, keeping increased oversight during busy periods such as board meetings. Maintain orderliness and cleanliness of pantries; including maintenance of ice/water dispensers by periodically draining ice and calling for service when needed, discarding expired or neglected items in refrigerators, arranging for refrigerator cleaning (may include simply cleaning spills and maintaining cleanliness as needed), changing filters, checking toasters and microwaves, etc.
Assist in scheduling and coordinating meetings held within the office to include conference room reservations/moves/cancellations, equipment needed for meetings, setting up training rooms, and the oversight of catering (receiving deliveries, set-up, and clean-up).
Maintenance of multi-function devices (MFDs - copier/printer/scanner) and supplies. Maintain paper supply at MFDs and order supplies as needed
Tackle minor equipment problems independently
Assist records management with delivery and pick-up of boxed documents for storage
Maintain relationships with vendors who provide services and goods to the office
Assist in the completion of the office Business Continuity plan
Provide notary services
Draft reports and correspondence and answer common inquiries or complaints from clients, co-workers, and/or supervisors
Provide support to ensure Facilities Managers have confidence that essential office needs/tasks will be addressed in their absence, demonstrating the ability to manage unexpected situations independently or by engaging appropriate team members
Develop strong relationships with team members and demonstrate ability to make connections companywide
Train Facilities Management staff (or others) in mailroom duties so they can be maintained in one's absence
Use interpersonal skills to exchange straightforward information
Perform other duties as assigned or apparent
QUALIFICATIONS
Basic Education and Prior Work-Related Experience:
Degree Requirement: HS Diploma or GED
Work Experience: 2 or more years of prior work-related experience
Must possess a valid drivers license and dependable vehicle

Competitive Compensation: anticipated base hourly rate from $15.26 to $25.07 based on skills and experience. This position is eligible to participate in an annual incentive program .
