Position Summary: The HR Assistant provides support in functional areas of a human resources department, which includes recruitment and employment, personnel records and maintenance of HRIS/Benefits systems, employee relations, new hire orientation and benefits administration. Bilingual abilities preferred but not required.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Actively participates in all aspects of recruitment efforts for exempt and nonexempt personnel (excluding managerial levels and above); helps coordinate the use of temporary employees.
- Maintains human resource information system records and compiles reports from the database as needed.
- Assists department in carrying out various human resource programs and procedures for all company employees.
- Handles general problems such as complaints or requests for information appropriately.
- Conducts new-employee orientations which includes instructions of online benefits enrollment for new employees; administers pre-employment tests; conducts reference checks.
- Verifies I-9 documentation and maintains I-9 books.
- Requests new employee background checks using online background checks service.
- Conducts audits of various personnel file, benefits or other HR programs to ensure accuracy, consistency and compliance.
- Prepares headcount reports, benefits reconciliation reports, etc. in the support of other departments and management.
- Prepares new employee files and assists with processing of terminations.
- Assists with the preparation of the performance review forms, data needed to assist management with merit reviews, etc.
- Maintains company organization charts.
- Performs other related duties as required and assigned.
- Exercises independent judgment and utmost confidentiality within scope of responsibility in performing assigned duties.
OTHER SKILLS and ABILITIES: Must be PC literate (MS Office) and have strong Excel, Outlook emphasis. Experience using a computer application to manage large amounts of information, including creating and editing simple databases, inputting data, retrieving specific records, and creating reports to communicate the information.
- Must have strong analytical, organizational, and writing skills.
- Ability to be professional and flexible in assisting employees or the management team as needed.
- Experience and working knowledge of Microsoft Office suite (especially Excel).
- Experience working with fax, copier; numerous data base systems.
- Independent thinker, self-starter, multi-tasker, team player.
- Ability to read and comprehend business-related correspondence.
- Ability to maintain confidentiality and to exercise prudent judgment when discussing confidential matters.
EDUCATION and/or EXPERIENCE: A bachelor’s degree in human resource management, or two to four years experience in the HR field, or any similar combination of education and experience.
PHYSICAL DEMANDS: While performing the duties of this job, the employee has to occasionally stand, stoop, kneel, crouch, or crawl; the employee is frequently required to walk; the employee is required to regularly sit, use hands to finger, handle, or feel, reach with hands and arms, talk or hear.
