The Executive Administrative Assistant plays a pivotal role in providing comprehensive support to senior executives (Senior Vice President and Above), managing calendars, coordinating travel arrangements, drafting memos, and creating impactful presentations. The Executive Assistant is expected to be a polished professional with excellent organizational skills and attention to detail, ensuring the smooth functioning of executive offices.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Executive Support:
- Provide high-level administrative support to senior executives, including managing calendars, scheduling appointments, and handling confidential information with discretion.
Travel Coordination:
- Arrange domestic and international travel, including flights, accommodations, and transportation, ensuring smooth and efficient itineraries.
Communication:
- Draft, proofread, and edit memos, emails, and other communications on behalf of executives, maintaining a high standard of professionalism.
Meeting Coordination:
- Schedule and coordinate meetings, conference calls, and events, ensuring all necessary materials and logistics are in place.
Documentation and Filing:
- Maintain organized electronic and physical filing systems for documents, reports, and other essential materials.
PowerPoint Presentations:
- Create visually appealing and compelling PowerPoint presentations for executive meetings, incorporating data, charts, and graphics as needed.
Office Management:
- Assist with general office management tasks, including ordering supplies, coordinating office events, and liaising with building management.
Vendor Relations:
- Interact with vendors and external partners as needed, managing relationships and ensuring timely payment processing.
Ad Hoc Projects:
- Support executives with special projects, research, and other tasks as required.
May be modified from time to time, other duties, tasks, and work may be assigned

- Productivity measured by the timely completion of assigned tasks.
- Quality and efficiency assessed through the accuracy of travel arrangements and the professionalism of written communications.
- Meeting coordination effectiveness, ensuring seamless logistics for executive events.
QUALIFICATIONS
- 5 years experience in an Executive support role
- Experience managing multiple executives schedules, phone calls, and documentation in conjunction with each other
- 5 years experience working in Microsoft Office Suite
KNOWLEDGE & SKILLS REQUIRED
- Proficiency in Word, Excel, Access and PowerPoint.
- Strong data integrity skills.
- Strong problem resolution and analysis skills.
- Strong attention to detail.
- Organize and write procedures in a logical/methodical manner.
- Able to work at fast pace
- Work well in a team environment.
- Able to maintain confidential information
EDUCATION & EXPERIENCE
- High School Diploma Required
- Bachelors Degree in Business or related strongly preferred
