Office Administrator
Position Summary:
The Office Administrator is responsible and accountable to the President/CEO of Randolph County United. The purpose of the position is to manage the organization's office and serve as a support to the organization's staff members.
Responsibilities:
• Answer telephone calls and direct to appropriate staff member or take messages.
• Greet all incoming visitors.
• Support the President/CEO's work with the Board of Directors, including scheduling Board and Committee meetings, assisting with materials preparation, attending, and taking notes at meetings and preparing minutes.
• Process and track Randolph County United memberships dues.
• Maintain Randolph County United membership records.
• Maintain and update business directory as needed for current businesses and organizations.
• Maintain and keep current key organizational materials, including board lists, board minutes, personnel manuals, and by-laws.
• Manage full accounts payable cycle from receipt of invoices to payment, including account or line-item assignment, obtaining approval from the President/CEO.
• Responsible for monthly accounts payable journal entries, balance sheet reconciliations, and report preparation.
• Process and record RLF loan payments received.
• Process bi-weekly payroll through Gusto, an online payroll processor.
• Enter and process IRA salary deferrals and company match amounts for any participating employees into respective funds each pay period.
• Assist with annual Randolph County United banquet and other events as needed.
• Perform general office duties, such as ordering supplies, maintaining records, management of database systems.
• Responsible for gathering information for yearly audit of organization.
• Provide support to the Vice President of Business & Community Development, and Vice President of Marketing & Special Events.
• Perform other duties as assigned by the President/CEO
Minimum Qualifications:
• Previous office administration experience preferred.
• Working knowledge of Office 365 programs and QuickBooks Online, or similar software.
• Appropriate written and interpersonal skills, a high level of professionalism and sound time management skills/practices.
