A beauty company in Farmingdale is hiring an Executive Assistant to assist the CEO/Founder & COO of the company! This is an important role in the company, as you will be responsible for providing executive support, arranging travel, handling extensive calendar management and other duties as needed. This position requires 3 years of experience as an executive administrative assistant, senior executive assistant or in another comparable support position. We are looking for someone with a passion for the beauty/cosmetics industry as well. This is a Direct Hire opportunity. Responsibilities
- Extensive calendar management for both CEO/Founder & COO (organizing/plan meetings, including scheduling, sending reminders, etc.). You will work closely with the CEO/Founder to keep her well informed on upcoming commitments/responsibilities and following up appropriately
- Plan, coordinate and ensure that the CEO/Founder and the COO schedules are thoughfully and effectively constructed to support expressed priorities
- Maintain comprehensive and accurate records
- Monitor office and kitchen supplies and research advantageous deals or suppliers
- Provide administrative assistance, such as composing/proofreading/finalizing complex correspondence, documents, meeting minutes, reports, and board meeting materials, using experience and judgement
- Prepare the CEO/Founder & COO for meetings by providing preliminary information
- Make travel arrangements for CEO/Founder, COO and Office Staff as needed
