The Corporate Office of Raytheon Technologies is seeking an executive-level administrative assistant to support both Environment Health & Safety (EH&S) and Global Security Services (GSS) with a position location of Farmington, CT. Duties will include support to the functional leadership team and oversight of daily administrative operations. The Assistant will be expected to work with and for others, building and maintaining relationships as they work closely, accurately, and when necessary, independently, within broadly defined guidelines.
Primary Responsibilities:
Responsibilities will focus on areas of office and clerical support including but not limited to:
- Maintain executive calendars; schedule meetings and resolve conflicts
- Manage executive phone calls
- Coordinate leadership/executive travel arrangements including completing appropriate expense reporting in a timely fashion
- Organize and attend executive staff meetings, take meeting minutes, and distribute action items to attendees
- Plan and support Vice President’s organizational events (i.e., Council and Department Meetings) including logistics
- Prepare PowerPoint presentations for leadership meetings
- Prepare and maintain Excel spreadsheets as needed
- Maintain accurate, updated organization charts for the groups supported
- Act as point of contact for conference room assistance and as a neighborhood captain
- Assist functional groups with processes that impact leadership / executives including managing calendaring of document reviews and annual activities
- Act as main point of contact with Iron Mountain, assisting staff with accessing files and/or adding additional material to long-term storage
- Act as knowledgeable point of contact related to purchase orders, invoice management and expense reports
- Exhibit use of Continuous Improvement Tools
- Exhibit proficient use of productivity and collaboration tools, including MS office 365 suite (Outlook, PowerPoint, Excel, Word, Teams, OneNote etc.).
- Participate in special projects and other tasks, as needed
- Ability to work in a hybrid work environment supporting on site and remote employee activities, as needed
Basic Qualifications:
- AA/AS degree (or other 2-year post high school training) with a minimum of 8 years relevant experience.
- OR in the absence of a HS diploma, GED or AA/AS degree, 10 years of relevant experience is required
- OR A Bachelor’s degree in the appropriate discipline and 2 years of relevant experience
- Must be a U.S. Person/Permanent Resident “Green Card” holder
- Minimum of 5 years’ experience in an administrative support role
- Excellent organizational skills and follow-up skills are required, as well as the ability to prioritize needs and work independently.
- Must be skilled in the use of Microsoft Office products and be able to adapt to changing technologies.
- Solid project management skills and high attention to detail
- Demonstrated experience with handling confidential and non-routine information
- Strong communication & interpersonal skills with the ability to develop and maintain a strong network of support to facilitate accomplishing deliverables
- Self-starter with solid time management skills
- Establish detailed knowledge of the Corporate Leadership team members and locations
- Flexibility to work overtime as required
- Position will be located in Farmington, CT
