Summary Position Statement

Under the direction of the Human Resources Director and working alongside Human Resources Generalist, provides administrative support for day-to-day Human Resources operations.


Essential Functions of the Position

CLERICAL SUPPORT

  • Provide support to HR department staff with making photocopies, faxing and scanning documents, filing, preparing correspondence, mass mailings and other general office support functions.
  • Assist with entering new hire information into the HRIS
  • Assist with document assembly as needed
  • Track the status of each applicant and record disposition of application in HRIS

RECRUITMENT & ONBOARDING

  • Assist as necessary with all phases of the employee recruitment and onboarding process, which may include assisting with Orientation, attendance at job fairs and other employment related community events.
  • Assist with updating vacancy announcements on the website, employment posters, and internal job board, as needed.

HR RECORDS

  • Maintain Digital and Hard Copy Personnel files in legally compliant manner
  • Close out personnel files upon termination
  • Track personnel files and arrange for the proper destruction of such files with the REACH shredding department in accordance with HR policy and destruction schedule

BENEFITS ADMINISTRATION

  • Assist with employee enrollment/termination of benefit plans
  • Assist employees with benefit claim issues and plan changes
  • Assist with open enrollment process

OTHER DUTIES & RESPONSIBILITIES

  • Assist staff with the completion of necessary paperwork as requested
  • Assist with mileage check process to ensure compliance with company policy
  • Understand and ensure compliance with all agency policies and procedures.
  • Adhere to strict confidentiality as prescribed by agency policy and federal/state laws.
  • Maintains and promotes a positive professional working relationship with all employees.
  • Attend and participate in meetings, committees and trainings as assigned

Position Requirements

TB clearance and criminal background check clearance required.

Minimum Education

High school diploma or equivalent.

Minimum Experience

Two (2) years of office experience; one which required the individual to appropriately handle highly confidential and privileged information on a daily basis, preferably in a Human Resources department.

Knowledge, Skills & Abilities:

  • Excellent customer service attitude
  • Knowledge and expertise in performing basic clerical duties.
  • Strong, accurate data input skills.
  • Knowledge and familiarity with database and/or HRIS systems.
  • Proficiency and accuracy in the use of computers for word processing, spreadsheets and other applications.
  • Strong organization, documentation, and time management skills.
  • Excellent interpersonal & written communication skills and effective problem solving skills.
  • Detail oriented with the ability to handle multiple tasks and interruptions.

Physical Requirements

Ability to perform sedentary work. Visual acuity necessary to utilize a computer monitor throughout the course of a normal workday. Ability to perform repetitive keyboarding activities and operate general office equipment. Ability to communicate verbally, both in person and over the telephone.

Working Conditions

Work is generally performed at the main REACH office, during normal Agency operating hours. However, due to the nature of the duties involved (specifically attending Job Fairs or other community events); occasional evening and or weekend work may be required.
