WHO WE'RE LOOKING FOR

 

We are seeking a professional, service-driven, detail-oriented, and music-loving executive with a high level of commitment to guide the Awards Department during the Latin GRAMMY Awards process including but not limited to meeting planning and logistics, online entry, verification and screening of entries, balloting, preparations for show-related events, maintenance of departmental budgets, maintenance of essential departmental timelines, supervision and development of staff. This individual should bring a vast amount of experience in planning, managing, and executing extremely confidential plans and projects.

 

The candidate should be a strategic thinker with ample knowledge of Latin Music genres, business, industry, practices, and its main players. This position supervises staff members.

 

 

WHAT YOU'LL DO

 

Including, but not limited to, the following: 

 

  • Will serve as the executive responsible for the Awards Process in the absence of the Vice-President of Awards.
  • Under the direction and approval of the Vice-President of Awards:
  • Supervise Awards Entry Process in consultation with other Departments of The Latin Academy.
  • Oversee the verification process and proof Latin GRAMMY entries, nominations, and wins for eligibility and accuracy.
  • Oversee Media Record Company and product inventory data.
  • Develop timetables and departmental procedures for projects within the department.
  • Propose new rules, measures, and systems to make the Awards process more transparent, fair, and efficient.
  • Develop comprehensive knowledge and understanding of all Awards-related guidelines, category rules, and departmental procedures
  • Manage, plan, and organize and sit as top advisor to the Chair of the yearly Screening, Entry List, Nomination Review, Awards, and Nomination committee meetings when required by the Vice-President of Awards.
  • Assist The Recording Academys GRAMMY Awards process when approved and directed by the Vice-President of Awards and any other work that is required by the Vice-President of Awards or the President of the organization.
  • Overall responsible for print materials accuracy.
  • Partner with the LARAS Membership Department in preparing the voting member database for Awards process mailings.
  • Develop agendas for Screening, Nomination, and A&N Committee meetings.
  • Manage Craft Committees
  • Serves as liaison with the Information Technologies Department for the update and maintenance of the Awards online/digital properties.
  • Represents the Awards Department for any new project and/or logistic development of the Awards process.
  • Manage telecast seating with TV Production Company for nominees.
  • Manage record label seating for the telecast.
  • Supervise Telecast and Premiere chyrons, scripts, and phonetics.
  • Supervise the Latin GRAMMY Award statuette distribution process:
  • Proof Latin GRAMMY Award statuette recipient nameplates
  • Oversee Latin GRAMMY Award statuette mailings
  • Proof and oversee shipment process of Nomination and Award certificates.
  • Supervise and hire Temporary employees to assist in Awards Process
  • Train Temporary employees and New Hires in the assigned positions
  • Supervise strict adherence to departmental timetables
  • Supervise staff on departmental procedures and awards processes
  • Create yearly awards calendars
  • Domestic and International travel as requested by the Company.
  • Assist in all other special projects as needed by the Company.

 

 

SKILLS & EXPERIENCE

  • A College degree in Communications, Marketing, Business Administration, or related fields is required.

  • 5 years of work experience in the Entertainment Industry or service-related activities

  • Fluently bilingual in English/Spanish (knowledge of Portuguese is a plus)

  • Strong organizational, analytical, and administrative skills, high sense of responsibility, timing and meeting deadlines

  • Excellent customer service and interpersonal skills

  • The ability to interact professionally and respectfully with staff, members, and PR, communication, as well as the ability to multi-task are essential.

  • Able to communicate ideas clearly and professionally.

  • The ability to work under pressure of tight deadlines is required.

  • Ability to propose solutions to practical problems and deal with a variety of different daily variables.

  • A high degree of responsibility in managing extremely delicate and confidential information.

  • Proficiency in computer programs MS Office (Excel, Word, PowerPoint, Outlook), CRMs Databases (SalesForce), or similar computer programs is required.
