Job Summary
The City of Red Wing is seeking a part-time Office Clerk/Receptionist to join the team at Public Works. This position performs routine to skilled clerical and office support service for the Public Works department involving data entry, processing Private Use of Public Property (PUPP) applications, cash receipting, billing, customer service and accounts receivable. Assists other city employees as necessary. Maintains City records. Serves as general receptionist.
Average Hours: Fewer than 30 hours per week.Anticipated Work Schedule: (Depending on applicant's needs and availability) Core work hours should be between 10:00am to 3:00pm to cover lunches and end of day cashiering. Ideal schedule would be Monday through Friday 5-6 hour days.
Essential Job Functions
Public Works Administration Support:
- Process and route Private Use of Public Property (PUPP) applications
- Sells aquatic center and bus passes.
- Issues firewood and wood cutting permits.
- Use Cartegraph software for tree, sidewalk and weed task recording.
- Support for annual deer hunt.
- Maintains monthly records for accidents reports.
Utilities Support:
- Receives, records and balances utility payments, accounts receivable payments, marina payments and parking ticket payments received through direct contact with customers, by phone, or through the mail.
- Balances money drawer and credit card terminal daily.
- Coordinates pavilion reservations and related correspondence and produces reports for posting.
- Assists in preparing utility related service orders.
- Gathers and updates customer information, billing records and complaints relating to utility services.
Department Support:
- Performs a variety of accounts receivables for the department.
General Office Support:
- Assists the general public, other departments, and outside agencies by phone, email, and in person; receives and responds to inquiries and complaints; answers questions and provides information; directs inquires to the appropriate resource as needed.
- Uses interpersonal skills to diffuse irate customers in a respectful and professional manner when handling customer complaints related to city services.
- Provide daily oversight into basic office equipment functions, such as filling paper in copy machines, placing calls for service as needed.
- Order office supplies as requested.
- Sort and process all incoming mail for the City.
- Type, sort, and file a variety of departmental documents as needed.
- Scan, index, and maintain a wide variety of optical records storage of various records.
- Perform other duties as assigned.
Experience, Education, Certifications, Physical Requirements
Experience Required: Minimum two (2) years clerical and reception experience.
Minimum Education Requirements: One year of post-secondary education or equivalent combination of education and experience.
Physical Requirements: Must be able to see and hear to answer telephone and respond to callers. Lift up to 25 pounds. Normal office environment.
