Responsibilities
Planning, coordinating, and implementing and directing facility personnel activities, policies and procedures, including but not limited to employee onboarding, information and records management, and other functions as assigned
Performs all onboarding requirements such as background and government checks, licensing and certification verifications, e-verifications, testing and completing all required paperwork
Notary preferred or must be able to complete notary public license within 3 months.
Must be E-verify certified or complete certification within 3 months.
Performs related professional and administrative work as required
Performs a variety of routine-to-moderately complex or specialized duties, which include but are not limited to composing and/or preparing reports and correspondence, researching and compiling data, scheduling meetings and appointments, preparing meeting materials, maintaining computer record-keeping operations, establishing and maintaining filing systems, etc
Processes confidential personnel documents in an appropriate manner; maintains confidential files and records containing employee information; completes and processes personnel action forms; enters employee into computer database(s) as required
Advertises all job vacancies; assists with the preparation of recommendations for hiring, employment changes, leave and terminations
Develops and/or maintains various records, reports and/or spreadsheets using a variety of applications and word processing software
Compiles and provides salary and budget information to immediate Administrator and Department Heads as requested
Maintains all HR data to ensure compliance with state and federal requirements
Receives and responds to inquiries, requests for assistance, concerns and complaints in areas of responsibility
Answers the telephone; provides accurate information to callers and/or forwards calls to appropriate staff person, as needed
Operates a variety of equipment, which include a computer, printer, copier, fax machine, telephone, label maker, calculator, etc.; uses clerical, computer and bookkeeping supplies
Interacts and communicates with the Administrator, co-workers, and staff, Departments of Health and Environmental personnel, various outside organizations and professionals, and the general public
Maintains, reports and tracks all workers compensation injuries. Completes annual certified employment and retention report for OSHA and other related HR reports
Completes quarterly Quality Assurance reports and Payroll Based Journaling uploads
Completes and tracks COVID and Influenza information for employees. Keeps COVID vaccination reports up to date.
Prepares and completes reports, memos, correspondence, forms, etc
Provides excellent customer service to applicants, volunteers, employees, and community members for the purpose of ensuring questions, inquires, and concerns are handled in a friendly and efficient manner
Attends meetings, training, workshops, etc., as appropriate to enhance job knowledge and skills
Completes payroll information including verifying hours, bonuses, PTO, holiday pay, benefits, updating payroll changes, entering new employees
Performs related duties as required
