Regis Jesuit High School is seeking a Registrar/Office Manager to begin in January 2023. This posting will remain open until filled.
The Registrar performs specialized clerical and technical tasks and database support related to the maintenance of the student information system, student records and files. This position assists the AP for Faculty and Curriculum and the AP for Academics. Additional functions include the organization and coordination of GD Main Office operations, procedures and resources to facilitate organizational effectiveness and efficiency. This is a year-round, 40 hour per week position. The starting salary is at least $24/hour. There is a full benefits package available, including employer paid health and dental.

General Responsibilities:

Essential Job Functions
General Responsibilities:
- Handle correspondence both internal and external
- Manage mail distribution and mail room in GD
- Answer phone calls to the GD and direct callers to appropriate office
- Maintain rapport with students and guests in the office
- Maintain supplies and coffee for GD faculty room and main office
- Assist with all aspects of Back-to-School Night, PTS Conferences, Course Selection Night, and other school events, as assigned
- Submit Red & White articles for upcoming events
- Serve as backup to the GD Receptionist during lunch and breaks
- Assist AP for Faculty & Curriculum with coordination, scheduling, recording, and budgeting of Professional Development for faculty
- Additional support duties that may be assigned by the Assistant Principal for Academics
- Enforce all data standards to ensure data integrity
- Maintain a variety of files, documents and student records (e.g. grades, transcripts, academic achievement records, etc.) for the purpose of documenting and/or providing reliable information relative to student records
- Manage student record system in SIS database
- Process withdrawn, transfer, study abroad and exchange students; assist parents and students through the process. Generate and transmit reports for tracking purposes
- Process Archdiocese and Immigration forms upon students’ acceptance
- Track and report data from SIS dashboards as needed
- Maintain student past school transcripts into SIS database
- Migrate senior transcripts from SIS database to electronic permanent storage
- Manage submission of transcripts to Naviance, NCAA and Parchment as required
- Process requests from students, other schools, insurance companies, and/or employment agencies (e.g. transcripts, enrollment confirmations, education and graduation verifications, etc.)
- Process and publish progress and semester grades and Honor Roll
- Update course descriptions, produce the online catalog and assist with the student course selection process
- Review and process requests made by SSA, law enforcement, mental health representatives and others
- Gather custody documentation, work with Deans and attorneys on attaining necessary paperwork, document in electronic records
- Produce queries and reports when requested (graduation diploma names, Cum Laude, GPA’s, etc.)
- Coordinate and manage with the Division Head and/or Assistant Principal for Academics the Enrollment and Re-enrollment processes.
- Download and release transcripts
- Generate Senior graduation reports
- Other duties as assigned
- Prior Registrar experience preferred
- Experience in Blackbaud software or similar database preferred
- At least three years’ experience in data entry with a strong emphasis in data integrity
- Excellent written and verbal communication skills
- Excellent computer skills including proficiency in Microsoft Word, Excel, PowerPoint, Outlook and database applications
- Ability to work independently, to take initiative, and to follow through on tasks
- Possess a high level of organizational skills to prioritize and manage multiple projects in a fast-paced environment with consistent interruptions
- Ability to perform tasks and projects with a high degree of accuracy and attention to detail
- Ability to be flexible in an individual and team environment
- Ability to handle confidential matters professionally
- Possess strong problem-solving and analytical skills and to use sound judgement
