A successful Executive Assistant will be professional, polite, attentive, and accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative Assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication with demonstrated ability in minute preparation. Most importantly, Administrative Assistants should have a genuine desire to meet the needs of others. An Administrative Assistant utilizes considerable latitude, judgment, and independent decision-making in response to situations and people, assessing the relative importance of issues/people and prioritizes based on those judgments. Promotes and acts as a role model for CARE principles (Courtesy, Positive Attitude, Respect, and Enthusiasm) throughout the health system, always exhibiting Key Service Behaviors (KSB) .

Overview Of Responsibilities

  • Greet visitors to the Administrative Suite in a friendly and sincere manner, at minimum making eye contact with and greeting customers, visitors, and staff.
  • Answer telephone for main Administration line
  • Acts as a liaison for those presenting to Administration, in person or via phone, with a complaint, in accordance with policy.
  • Proficiency in Outlook, Smartsheet, Word, Excel, Visio, and PowerPoint to generate reports, create presentations, transcribe minutes, and conduct research.
  • Provide real-time calendar and scheduling support to Vice Presidents and others as assigned by booking appointments to avoid conflicts yet ensure timely follow-up.
  • Assists with system administration for HealthStream
  • Maintain records of all system licensure and accreditations, including off-site locations, as appropriate.
  • Processes credit card reconciliation and check requests via Infor
  • Supports the Events Committee and associated tasks
  • Make travel arrangements, booking conferences along with assessing and arranging travel needs such as flights, cars, hotels, and restaurant reservations.
  • Maintains accurate email groups as assigned
  • Collect and maintain inventory of office equipment and supplies
  • Performs Safety Representative responsibilities for Administration
  • Provides clerical support to Executive Team in copying, faxing, scanning, mailing, filing and other tasks as assigned.
  • Assists Executive Team with any project as assigned and is available for attendance at evening meetings or functions as necessary.
  • Responsible for providing secretarial support at committee meetings, as assigned. Support includes timely & accurate meeting agenda and materials preparation, mailing of meeting materials at least 7 days in advance of the meeting, minute taking/preparation/editing, meeting calendar management for attendees, meeting notices, and meeting preparation.
  • Assists Chief Administrative Officer and Executive Assistants in the performance of their duties and relieves in their absence. Cooperates with others to balance the workload and meet project deadlines for all the Administration team.
  • Open, sort and distribute incoming correspondence, including faxes and interdepartmental mail
  • Other duties as assigned, requested and/or necessary.

Education/Experience

Education required: Associate’s Degree

Experience Required: Minimum of two years previous experience in a professional office setting

Education Preferred: Bachelor’s Degree

Schedule Details

Day Shift. 40 hours weekly. 8:30 am until 5:00 pm, Monday - Friday
