Moretrench Industrial is seeking a results-driven Project Administrator to join our team at the project site in Bartow, Florida.
Responsibilities
- Assist with accounting functions at the project site.
- Collect and process paperwork verifying for accuracy.
- Communicate daily with the project field personnel.
- Communicate with vendors and clients.
- Create opportunities as given from field.
- Create Job Start Notice (JSN) as requested by field/PO from client.
- Create JSN for PO change orders.
- Track and enter payroll (PR) hours in Groundworks (GW).
- Track and enter equipment hours in GW.
- Survey Time/Equipment and Transport Time/Equipment to be added to timesheets.
- Review and approve AP invoices in GW workflow, and contact vendor if invoice is incorrect or missing.
- Create PO requisitions and submit to vendors – store in project folder in server when returned with signature.
- Receive on PO’s once verified with field and track POs to increase/close.
- Create IC billing sheets as needed.
- Create billing roll-ups.
- Track billing to PO’s – total amount and material amounts for Field Glass PO’s.
- Client reports if needed and/or client system data entry if needed.
- Audit project to ensure all materials were billed.
- WIP reports
Qualifications
- Previous experience in a related field encouraged.
- Previous experience in working with Project Managers for the delivery of projects.
- Written and verbal communication skills
- Solid organizational skills including attention to detail and multitasking
- Strong working knowledge in Microsoft Office and of project manager tools
- Associates or Technical degree preferred
