Position Purpose Summary:
The Scheduler is responsible for scheduling duties, patient registration, and additional administrative tasks.
This position is part-time working M-F varying hours between 5:15am-4:30pm at the Edina Specialty Surgery Center.
Essential Functions:
- Responsible for all surgery scheduling at the Ambulatory Surgery Center (ASC); schedules accurately and consistently.
- Maintains professional relationships with all physician offices.
- Works in conjunction with Director and ASC Operations Manager on block scheduling and maintains the schedule flow.
- Coordinates with Health Unit Coordinator, Anesthesia, and charge nurses to maintain schedule and case flow.
- Reviews charts prior to surgery and retrieves orders.
- Maintains chart time updates and connects surgery date appointments in the EMR.
- Sends daily schedule availability and verification notices to care coordinators in a timely manner.
- Update insurance information as appropriate and ensure updates are reflected on patient’s chart.
- Notifies patients of time changes if pre-operative patient phone call is complete
- Maintain cancellation log.
- Communicates equipment availability to team weekly.
- Assists in training staff in scheduling as necessary.
- Assists in other departments when necessary.
- Collaborates with other disciplines to maximize patient outcomes and ensure a smooth flow of the surgical experience.
- Accountable for reporting occurrences through the center’s established reporting process related to employee and/or patient/visitor events.
- Participates in acceptable continuing education, fostering career and skill development including meeting departmental continuing education requirements.
- Any and all other duties as assigned
Education and Experience Requirements:
- High School diploma/GED or equivalent
- Medical technology knowledge
- Two years’ experience in medical office setting or related field
- Current certification in basic CPR for Healthcare Professionals (BLS) or completed upon hire.

- Work in the surgery center during business hours
- Travel independently throughout the surgery center (which may include movement from floor to floor); frequent bending, lifting, standing, stooping or sitting for long periods of time may be required
- Work at an efficient and productive pace, handle interruptions appropriately and meet deadlines
- Communicate and interact in a respectful and professional manner
- Prioritize workload while being flexible to meet the expectations of the daily operations
- Apply principles of logical thinking to define problems, establish facts, and draw valid conclusions
- Understand and execute a variety of instructions
- Effectively operate equipment and communicate on and operate the phone system
- Work independently with minimal supervision
- Travel to other work locations, if required
