The Project Coordinator, Real Estate, coordinates assigned department projects, with responsibility over most aspects of the projects (development, prioritization, implementation, completion and managing ongoing needs), provides support to the Real Estate Investment Leadership team members' team initiatives, with responsibility assigned to phases of the project. This Project Coordinator possesses strong communication and organization skills, a facility with needed tools and systems, an ability to work collegially and professionally with others throughout the organization, and thrives in a dynamic and continuous learning environment. This role performs comprehensive, complex, and confidential day-to-day administrative support activities for the Investment Leadership Team.
Responsibilities
Under limited supervision:
- Coordinate key aspects of assigned department projects including, but not limited, onboarding, BCP, workspace management, and knowledge management.
- Manages payments, processes invoices to ensure timely payments, coordinates and manages home office and off-site client events for senior and executive management
- Assist investment leadership team with projects, reporting, proposals and investment management presentations, day-to-day requests, emails, and outside telephone calls. Acts proactively by recommending creative solutions while ensuring compliance with guidelines.
- Performs advanced administrative support duties which include, but not limited to: creating/preparing general to advanced correspondence, spreadsheets and reports, creating/designing advanced PowerPoint presentations and presentation materials, coordinating travel, accommodations and expense statements, coordinating/scheduling meetings and conference calls, and scheduling and maintaining Outlook calendars.
- Develops and maintains constructive and beneficial working relationship with internal and external clients, including IT, Investment Accounting, Human Resources, Facilities and business lines. Maintains knowledge and understanding of key internal associates and committees, and of external partners, board members, or professional organizations who interact directly with executive and senior leadership.
- Produces detailed reports and notifications as appropriate. Takes pro-active approach to all aspects of position.
- Perform basic financial analysis including gathering and presenting information regarding ongoing department budget variances. Manages new hire onboarding process including compliance activities.
- Performs other support duties which include, but not limited to; coordination of mail distribution, preparing contracts for services, scanning and filing maintenance (electronic and paper) including organizing, retrieval, archiving and storage, planning department staff events, assisting with emails, and providing support on special office projects.
- Maintains regular and predictable attendance.
- Performs other duties as assigned.
Requirements
Education and Experience
Required:
Associate’s Degree or equivalent experience, 7 years administrative/secretarial or project/event planning experience
Preferred:
Bachelor’s Degree or equivalent work experience, 10 years administrative or project planning experience for corporation, Project Management associated designation or similar management certification and/or courses
Skills and Abilities
- Intermediate Word, Basic Excel and PowerPoint skills
- Basic Math skills
- Ability to be flexible when needed, take initiative, and demonstrate accountability.
- Intermediate oral and written communication skills demonstrating ability to share and impart knowledge.

State of Colorado: This information is provided per the Colorado Equal Pay Act. The pay range for this position in Colorado is $61,855 – 80,380 per year. Base pay varies depending on job-related knowledge, skills, experience and market location.
