The Office Administrator supports the business needs of the District Manager and performs administrative duties for office personnel. This role demands and energetic person who is comfortable with autonomy and has the willingness to exercise initiative and independent judgment.
Responsibilities
- Supports the business and production needs of the District Manager and the district office covering a multi-state area.
- Client communications and entry of new business
- Answering phones and routes calls and messages to office personnel and other district offices, as appropriate.
- Maintaining electronic office files, job files, vendor files, and other files related to the company’s business.
- Overseeing evidence storage and evidence records.
- Purchasing office supplies, equipment, and furniture.
- Oversees maintenance of office facilities and equipment.
- May cross-train, assist, and oversee other administrative staff to ensure efficient and timely workflow.
- Manages invoicing and accounts receivable.
- Performs other duties as assigned by District Manager.
Qualifications
- Bachelor’s degree desired
- Associate’s level degree acceptable with sufficient experience
- Recent military service involving logistics also acceptable experience in lieu of college
- Minimum of 2 years’ experience in an administrative capacity, preferably with office management experience
- Must have superior computer proficiency with structured programs for data entry as well as the Microsoft suite of products.
- Must have knowledge of a variety of computer software applications including word processing, spreadsheets, email, and database software (MSWord, Excel, Outlook, and Access).
- Must be highly organized and detail oriented
- Must be able to work in a face paced environment and able to continuously prioritize tasks throughout the day/week/month.
- Must possess excellent business writing, editing and proofreading skills
- Must have high level of interpersonal skills to handle sensitive and confidential information
- Position continually requires demonstrated poise, tact and diplomacy.
- Must possess ability to understand departmental operations and procedures.
- Must be able to interact and communicate with individuals at all levels of the organization
- Must possess excellent business writing, editing and proofreading skills; work requires continual attention to detail, establishing priorities and meeting deadlines.
- Must have ability to read, analyze and understand information and ideas presented in writing.
- Able to respond written or verbally to job specific and general inquiries from management, peers, subordinates, clients, and external vendors.
- Must be able to produce and disseminate correspondence (i.e. emails, letters, etc.) as requested.
