We are looking for an Office Administrator primarily responsible for managing the tasks and processes related to selling and buying commercial real estate, as well as fulfilling administrative duties.
Summary: We’re in search of a highly organized, detail-oriented office administrator to oversee our daily operations and ensure our business runs efficiently. Our ideal candidate is a quick problem-solver, and positive team player.
Responsibilities:
· Responds to phone calls, emails, social media, and website inquires professionally, and in a timely manner
· Data entry and file management
· Creates and organizes prospect/client files, and oversees customer relationship management database
· Produce and update new listings and assist with marketing to ensure social media, photos, signs, and other materials are placed appropriately
· Additional duties include managing social media, marketing, ordering supplies, maintain office equipment and general office maintenance
· Manage key inventory (check out system)
· Basic bookkeeping task in QuickBooks Online, such as accounts payable & receivables, payroll processing and payroll taxes (automated)
· Prepare end of month reports
· Support the team: You will be the go-to person for our agents, providing administrative assistance, guidance, and resources. Your exceptional communication skills and customer-oriented mindset will be essential in building strong relationships within the office

Qualifications:
· Computer literate, Microsoft proficient, proprietary web-based applications, and comfortable learning new programs quickly and efficiently
· Excellent organizational and multitasking skills, with a keen eye for detail.
· Use of proper spelling/grammar; solid written and verbal communication skills
· Task oriented with high quality, organized, able to re-prioritize throughout the day, strong sense of urgency, and personal accountability
· Ability to quickly adapt and learn in a fast-paced & professional work environment
· Real estate experience helpful, not required
