Description:
The duties of which are to assist one individual, and in some cases the subordinate staff of that individual, by performing general office work auxiliary to the work of the organization. To be included in this series, a position must be the principal office clerical or administrative support position in the office, operating independently of any other such position in the office. The duties require a knowledge of clerical and administrative procedures and requirements; various office skills; and ability to apply such skills in a way that increases the effectiveness of others.
Duties include, but are not limited to the following:
- Type a variety of documents such as letters, memoranda, reports, and forms
- Proofread correspondence, reports, memoranda, and forms to ensure the final document contains the correct punctuation, spelling and grammar.
- Prepare travel authorizations, vouchers, and make travel reservations (using a Board provided travel management web-based system) and trip reports necessary for official travel of the Board staff.
- Enter information in the Board's time and attendance web-based system
- Coordinate the FedEx deliveries, keep a log of pickups, and arrange for courier service
- Serve as the organizational coordinator for conference room reservations, which requires the electronic scheduling of rooms for conference or meetings
- Mailing letters, photocopying materials, inventorying, packing and mailing materials to the hearing site, and managing the reception desk during hearings.
- Perform other general office duties as assigned such as photocopying, addressing envelopes, mass mailings, collating documents, filing etc.
- Create the transmittal letter being sent to DOE's Office of Classification, maintaining the tracking database for these documents, and process the documents upon their return from DOE
- Prepare and maintain group calendar of activities (e.g., leave, travel, training, meetings etc.) assigned
- Prepare and process training requests
Position Requirements:
- Typing at least 40 wpm
- Advanced knowledge of Microsoft Outlook, Word, Excel, and PowerPoint
- Strong interpersonal/customer service skills
- Minimum Associate's Degree, high school diploma, or 2-3 years' administrative experience
- Ability to organize a daily workload by priorities
- Must be able to meet deadlines in a fast-paced quickly changing environment
- A proactive approach to problem-solving with strong decision-making skills
- Professional level verbal and written communication skills
- Proven experience as an executive assistant of other relevant administrative support experience
